Summary

This tab page contains specific employee information that you can use for reporting. Use Customise Columns to include this information in grid reports.

Fields

PayGlobal coded reports use the data in the Last name and First Names fields on the Employees form.

Preferred names*:

Nickname or any name that the employee prefers to be known by.

Previous name*:

Applies to employees who have recently married or changed their name by deed poll.

Courtesy title:

A title such as Mr, Miss, Mrs, Dr, or Prof.

Gender:

Select (Blank), Male or Female or any other country specific options

Gender Identity:

If your company has configured possible gender identities under Employee Details > Human Resources > Gender Identities then you can optionally select one.

Marital status:

Select (Blank), Single, De Facto, Married, Widowed or Divorced.

Marriage date:

Date employee got married.

Date of birth:

It is a record keeping compliance requirement to record an employee's DOB.

For AU - this became compulsory on 1 July 2018 for STP.

For NZ - this becomes compulsory on 1 April 2019 for Payday filing.

To avoid having your data rejected by ATO/IR because of missing DOB's it is recommended that the Compulsory Birth Date field in Company Settings is set to "Yes".

Age:

PayGlobal automatically calculates the employee's age in years and months from their date of birth.

Note: The Minimum Wage Act requires New Zealand employers to record the date of birth of employees who are less than 20 years old.

Birth certificate sighted:

Yes/No field that indicates whether you have seen the employee's birth certificate.

Alternate Employee Code:

If you use Payroll only, you can use this field to record an alternative code. For example, from a previous system or an accounts package.

If you use Time & Attendance/Rostering and Payroll, do not use this field because although you can export data from T&A/Rostering, you cannot successfully import it into Payroll.

Note: First Name and First Names fields and those fields marked with an asterisk will be disabled for editing if the employee is enabled for fully featured workforce management integration. These fields are sourced from workforce management.
