Summary

PGPRTAXA023 is designed to assist you with generating a an electronic KiwiSaver Employment Details (KED) file.

The KED file is electronic combo version of the following IR forms:

KS1 - KiwiSaver Employment Details
KS10 - New Employee Opt-out Notice

Since the introduction of Payday Filing (1 Apr 2019), this report has only been required to be used to report new employees that are choosing opt-out of KiwiSaver.

This report is no longer supported by the IRD from 1 April 2021.

Important: You can run this report on closed pay sequences only.

Report Settings

Employee

You can run this report for one single employee or all employees that fit other report settings applied at run time.

Date from

You must provide a date.

PayGlobal looks for Employee KiwiSaver State records with a Start Date that's equal to or greater than this date

Date to

You must provide a date.

PayGlobal looks for Employee KiwiSaver State records with an End Date that's less than or equal to this date.

Contact Name, Phone, Mobile Phone

Enter the name and contact phone number(s) of the person IR can contact if they have any queries

Export to IRD

Selecting Yes will create both a PayGlobal readable report and the txt file you need to upload into MyIR
Selecting No just creates the PayGlobal readable report.

Export filename

Enter both a destination path and file name.

If no path is supplied the destination used will be the one applied when you "Edit Report Destination/Format"

Separate Internal Companies

It recommended to select Yes if your database contains data for multiple employers

For each employee the following data is reported

IRD Number
Employee Name, e.g. Buller Wendy Jane
Eligibility
Reports the Employee KiwiSaver State record Event field value, i.e:

- Automatic enrolment

- Opt In enrolment via employer

- Opt out via employer
Opt-Out (Y/N)
Only reports "Y" when Employee KiwiSaver State record State field = "Out"
Start Date (employment)
Opt-Out Date
Reports the Employee KiwiSaver State record Start Date field

Report Type

The content of the export file is designed to comply with IR's latest payroll specification

Header record

1	Header record indicator	Displays "KSH"
2	Employer's IRD number	PayGlobal looks at the Pay Period code linked to the employee at time of running the report. If the Pay period has a linked Internal Company, then it uses the IRD number from that record. Else it uses the IRD number from Compan Settings
3	Employers contact name	Reports the Contact name from Report Settings
4	Employers day phone number	Reports the Phone number from Report Settings
5	Employer mobile number	Reports the Mobile phone number from Report Settings
6	IR form version number	Displays "0001"

4	Employee's eligibility	One of the following values is reported: NE - Employee KiwiSaver State Event = 'Automatic entrolment' EE - Employee KiwiSaver State Event = 'Opt In enrolment via employer' Blank - Employee KiwiSaver State Event = 'Opt In enrolment via employer' Note: Employees with any other Event are not reported.

7	Employee's surname	Last Name
8	Employee's address	Address line 1 and Address line 2
9	Employee's address	Address line 3, Address line 4 and Postcode

12	Employee's email address	Looks for an email address from either 'Email' or 'Work-email'
13	Opt-out indicator	Only reports "Y" when Employee KiwiSaver State record State field = "Out"
14	Employment Start Date	Employee's start date
15	Employee's bank account number	Only reported if employee is opting out of KiwiSaver. It is required to ensure any monies currently held by IR intened for KiwiSaver are returned to the employee. Note: The Payday 'ED' File does not report this prior to 1 April 2020
16	Name of the account holder	Only reported if employee is opting out of KiwiSaver. Report looks at the employee's bank "Account name" first. If this blank then the employee's lastname is used instead.
17	Date opt-out notice signed by employee	Only reported if employee is opting-out of KiwiSaver. Gets Employee KiwiSaver State "Date opt out notice signed"
