Summary

The PGPRHIST054 - MSD Payroll Data - Victoria DHS report is a payroll financial report that is required by the Victorian Public Health Services. The report creates two output files:

  • A Minimum Data Set (MDS) file that is sent to District Health Services (DHS).

    This summary file consolidates data by:

    • Agency (such as Mercy Public Hospitals Inc. = 3388)
    • Campus (such as Mercy Hospital for Women = MP1)
    • Cost Centre (such as Clinical Services = N 8500)
    • PCR code (Payroll Classification Register).

    The MDS file contains FTE components and payroll components, such as basic salary, sick pay and ADO. The payroll components have a monthly value that PayGlobal derives by adding or subtracting accrual and reversal amounts from payments.

  • A reconciliation file.

    This file is similar to the MDS file, but it breaks information down to individual employees.

PGPRHIST054 calculates accruals based on "wage type". In PayGlobal, a "wage type" is defined as an allowance. The Victorian DHS maintain a spreadsheet that indicates which "wage types" require accruals. If you want to use the PGPRHIST054 report, then you must:

  • Obtain the "wage types" spreadsheet from the Victorian DHS.
  • Set up and populate a new logical user-defined field on the Allowances table to identify which allowances require accrual calculations.

The Reconciliation output file contains data for the current reported month only, for all specified fields. If the previous month's report contained an accrual, then the report for the current month includes a transaction for the reversal, regardless of any other conditions.

Prerequisites

Before you run this report you must:

  • Set up the required UDFs and ensure that the fields are populated.
  • Create appropriate allowance groups and ensure that the appropriate allowance groups are linked to the report setup.
  • Complete all fields on the report setup form.

MTD Code

Mandatory field.

Select the MTD that you want to report on.

YTD Code

Mandatory field.

Select YTD that corresponds with the selected MTD.

Show detailed log

This Yes/No field controls the data displayed on the PayGlobal report only, not the CSV files.

Yes - The report expands data down to employee level.

FTE - Fulltimer use

Select from:

  • "Profiled Hours" (default)
  • "Award Hours".

    This field determines the divisor used to calculate the FTE values (see FTE Current Month).

Allowance Groups
Complete these 12 mandatory fields by selecting the allowance group used to calculate each of these values.

Basic

Allowance group used to calculate Basic Salary.

Sick Pay

Allowance group used to calculate Sick Pay.

Overtime Recall

Allowance group used to calculate Overtime Recall Unrostered.

Overtime Rostered

Allowance group used to calculate Overtime Rostered.

Penalties not Public Holiday

Allowance group used to calculate Penalties other than Public Holidays.

Penalties Public Holiday

Allowance group used to calculate Penalties Public Holidays.
