Summary

In New Zealand, most full-time, part-time, permanent and fixed-term employees are entitled to five days’ paid sick leave after they complete their first six months of continuous service. They are then entitled to an additional five days’ sick leave after each subsequent 12-month period. However, casual employees must meet additional criteria to be entitled to sick leave.

PayGlobal has created a Sick Leave for Casual Employees document that explains how to set up and manage casual sick leave. To facilitate this process, the PGPRLEAV063 - Casual Employees Sick Leave Qualification report was created and added to the Standard Reports Catalogue so you can easily identify employees who qualify for sick leave.

The report looks at the previous 6 months and checks whether the employees meet the qualification criteria of working an average of 10 hours or more per week, including at least one hour per week or 40 hours per month. You should run this report regularly, such as after every pay run.

Details

Sick Leave table

Select the table that employees are attached to when they are due to be evaluated for qualification criteria.

Allowance Group

Allowance group that records the "Hours Worked" quantity for annual leave purposes, such as AVGHRS.

Report end date

End date for an historical 6-month date range. The report uses data from all closed pay sequences with a period end date within this 6-month date range.

For example, if you enter 10/07/2012, the report will include all pay sequences with a period end date in the date range 11/01/2012 to 10/07/2012.

If an employee does not have payments in any of these periods, they will fail to qualify.

Internal Company

Uses standard internal company filtering, available by editing the report within the report group.

Pay Period

Uses standard pay period / internal company filtering, available by editing the report within the report group.

Contents

PGPRLEAV063 displays only employees who have no Termination date and are on a specific sick table (see Sick Leave for Casual Employees).

PGPRLEAV063 is sorted by Qualification status, and then Employee code.

PGPRLEAV063 will display an employee as unqualified if they do not have hours worked data. For example, if the Report end date is in the future or the employee has not completed six months of continuous service.

The report uses ‘average’ monthly and weekly values, not exact transaction dates. As a result, if PGPRLEAV063 displays an employee as unqualified due to borderline values, then you may wish to confirm their qualification criteria by checking the actual days that they worked on.

Hours worked per month

Display hours worked values for 6 months in blocks of the monthly range

After the report determines the month range, it identifies closed pay sequences and associates them with a month based on their period end dates.

Month 1 is the most recent and Month 6 is the oldest.

The total quantity (from the selected allowance group) for these pays is displayed against the respective month.

The report months are the 6 months that occurred before the Report end date. For example, if the Report end date was 18/08/2011, then the month dates would be:

Qualifies for Sick Leave

If the Average hours per week value is 10 or greater, and the Worked at least 1 hour per week or Worked at least 40 hours per month values are "Yes", then Qualifies for Sick Leave = "Yes".

Otherwise, Qualifies for Sick Leave = "No".
