Recording Applicant Questionnaires and Responses

Summary

This process explains how to record the questions and answers given in a questionnaire situation with an applicant.  The questionnaire process could either be oral, as in an employment interview situation or written, for example, an application form given to all applicants.

Before you start
  • Create applicant records in the Applicants entity.
  • Create a questionnaire record in the Recruitment Questionnaires entity.
  • Create a recruitment centre record created in the Recruitment Centres entity.
  • Attach applicant records to the recruitment centre created above.
  • Attach the questionnaire record to the recruitment centre created above.
  • Have the applicants complete the questionnaire - not essential but prevents you needing to enter data twice.

Procedure
  1. Navigate to the Recruitment Centre that you want to record applicant questions and responses for - Human Resources | Recruitment | Recruitment Details | Recruitment Centres.
  2. Select the Applicants tab.
  3. Click Edit.
  4. Highlight the first applicant you want to record questions and responses for.
  5. Press Enter to reach the View Recruitment Centre Applicants form.
  6. Select the Questionnaire Responses tab.

    You will now attach the questions and responses that an applicant has given to a questionnaire.

  7. Click Edit.
  8. Press Insert to reach the Add Recruitment Centre Applicant Questionnaires form.
  9. In the Details tab, select the Questionnaire Code for the questionnaire used in the recruitment centre for this applicant.
  10. Click Save.
  11. A Confirm message appears:

    "Do you wish to set up question response records for all questions in questionnaire?"

    Select Yes. This action brings through the questions in the selected questionnaire to the Question Responses tab.

  12. Select the Question Responses tab.
  13. Click Edit.
  14. Highlight the first question that you want to record a response for, and then press Enter to reach the Recruitment Centre Applicant Questionnaire Questions form. The Details tab describes the first question in the questionnaire.
  15. Select the Answer tab.
  16. Click Edit.
  17. Enter the answer given by the applicant to the first question.
  18. Click Save.
  19. Click Next to reach the next question in the questionnaire.
  20. Repeat Steps 16 to 19 until all answers are recorded.
  21. Click Close to return to the Edit Recruitment Centre Applicant Questionnaires form.
  22. Click Save + Close to return to the Edit Questionnaire Responses form.
  23. Click Save + Close to return to the Edit Recruitment Centres form.
  24. Highlight the next applicant and repeat Steps 5 to 23 until you have recorded all applicant questionnaires and responses.
  25. Click Save + Close to return to the Grid.
