PGPRPRIM003 - Employee Payslip Report (New Zealand)

Summary

Use this report to print payslips for employees in your organisation. Employees can use the payslips to check their pay details.

Important: Although you can run PGPRPRIM003 for open pays, we recommend that you run it for closed pays only. If you run the report for a pay that is still open, then the YTD, Super YTD and leave balance values displayed in the report may not match the values in that pay when it is closed.

You can customise payslips to your company's requirements and use them to:

  • Print payslips for the whole company, or only for specific departments, locations or employees.
  • Create customised payslips for specific groups in your company.
  • Print individual or group messages on payslips to explain pay calculations or make announcements.

PGPRPRIM003 is a standard payslip report that is available in all countries, but it is designed to meet New Zealand client requirements.

Important: PGPRPRIM003 is a New Zealand-only report that does not meet all Australian federal and non-federal legislative requirements and does not cover any specific union requirements. Australian clients should use PGPRPRIM904 or PGPRPRIM905.

Note: The annual leave Rate value is the employee's annual leave outstanding rate, which should be the same as the employee's Holiday Pay Owing / Last Year Hrs owing rounded to two decimal places.

 

Payroll Giving

If an employee's pay includes a donation tax credit, then details are displayed on the line between Total Deductions and Net Pay.

The Year to Date Balances section displays data in two columns, and it includes a YTD Tax Credits field.

Important: If the employee's pay contains a donation tax credit, the number of lines printed on the PGPRPRIM003 payslip will increase by two lines. If your payslip is currently one full page, then it could become two pages long.

Pay status

You can run this report on processed or closed pay sequences. However, you should run the final Employee Payslip Report after you close the pay so the updated YTD values are displayed on the employee's payslips.

Customising payslips

Use Edit Report Settings to customise the information that appears on payslips. For example, you can include annual leave and sick leave balances, but not leave credit or long service leave balances. You can also control the type of information displayed in the payslip header.

The report settings Details (i) tab contains three sections:

  • Pay Sequence and Payslip format selection

    Use these fields to setup basic report properties.

  • Headings and Titles

    These fields allow you to control the type of information displayed in the payslip header.

  • Payslip Message

    You can print a message on all employee payslips, such as a reminder about an upcoming event.

The report settings Details (ii) tab contains two sections:

  • Transaction Details

    Use these checkbox fields to control the type of transaction details displayed in the report.

  • Summary Details

    Use these checkbox fields to control the type of summary details displayed in the report.

Annual Leave Payouts (NZ)

In New Zealand databases, Annual Leave - Outstanding (or equivalent allowance description) shows annual leave that was taken or paid out.

In report settings, on the Details tab, select Transaction text to display the annual leave entitlement year that the payout was made in. This information was written to the transaction Text tab when you closed the pay.
