Import Actual Timebands

Time & Attendance | Import Actual Timebands command

Summary

Use this command to import timebands from a third party software package or from a file that meets the format criteria.

You would use this command if you:

  • Do not have Shifts and Tours set up in PayGlobal
  • Want to import Actual start/finish times, but are not using clocks.

For example, each departmental manager completes a spreadsheet of employee timebands, and then submits them to the payroll officer to import.

Pre-requisites

You can use this command only if:

  • You have set up the following details on the Company Settings | T&A | Import Timebands tab:

    Timeband data path - If this path is not specified, then PayGlobal uses the Company Data | Import folder.

    Import Type

    Import file - This field must contain the actual file name and extension of the file to be imported.

  • The file that you want to import matches the Import Timebands settings.

Fields
Import Files:

Use the pick list to select the file that you want to import. For example, if Import Type = "CSV", Import file = "*csv", then you can select a CSV file in the Timeband data path or Import folder.

Detailed Log:

Yes/No field that determines the amount of information displayed in the audit log.

Merge timebands:

Yes/No field that determines how PayGlobal treats timebands in the import file if timebands already exist for the employee on that day.

  • Yes (default setting)

    If the timeband being imported overlaps an existing timeband, then PayGlobal will not import that timeband.

    If the timeband being imported does not overlap with an existing timeband, then PayGlobal imports the timeband. As a result, you may have multiple timebands for an employee for that day.

  • No

    The imported timebands replace the existing timebands for the employee on that date.

Automate this task

If you want PayGlobal to run this command automatically, then you need to set up a Scheduler record. The Scheduler record must contain the Action Clause Import Actual Timebands.

Existing Leave Timebands

How PayGlobal treats existing leave timebands, when your import file also contains leave timebands, depends on whether or not you use Leave in open periods (LOP).

Leave in open periods is enabled

Existing full day leave timebands are retained. This means the imported timeband(s) will be ignored regardless of the setting in Merge timebands.

Leave in open periods not used

  • If Merge timebands = No, the imported timeband(s) will overwrite the existing timeband(s)
  • If Merge timebands = Yes, the existing leave timeband(s) are retained.

    Important: PayGlobal defines “leave timebands” as those that are linked to a valid Employee Leave Request record (i.e. the timeband has a Leave Request ID)
