Advanced Roundings - Details

Summary

Rounding decides the time that an employee is paid in relation to when they clock in or out. Rounding is used for employees that do not have automatic rosters. Each period can have either an automatic or a manual roster. To check whether a period uses an automatic roster, go to the Details tab page of the period. The Actuals field will display 'Automatic' or 'Manual'. Each employee is associated with a Roster period in their Employee | Rostering | Details tab.

Example

Using 15 minute roundings

  • Employee A with a start time of 9am, clocks in at 9.04 so will be paid from 9am. In this example, employees that clock in anytime from on the hour to 7 minutes past the hour are paid from the hour.
  • Employee B with a start time of 9am, clocks in at 9.13 so will be paid from 9.15. In this example, employees that clock in between 8 minutes past the hour and 22 minutes past the hour are paid from quarter past the hour.
  • Employee C with a start time of 9.30, clocks in at 9.47 so will be paid from 9.45. In this example, employees that clock in between 37 minutes past the hour and 52 minutes past the hour are paid from quarter to the hour. 

Advanced Rounding for Clock Swipes on the Hour

The default behaviour for advanced rounding is that clock swipes on the hour are not rounded by default. This is not an issue if the rounding works to pay on the hour, as in the above example.

But in cases where advanced rounding may work to pay not on the hour (before the hour, for example), clock swipes on the hour are not adjusted. This default behaviour may not be desirable.

PayGlobal has the ability to configure an alternative behaviour which will include on-the-hour clock swipes in the first rounding rule.

Example

Using 15 minute roundings to pay before the hour (default behaviour)

  • Employee A with a start time of 8:55am, clocks in at 9:02 so will be paid from 8:55am. In this example, employees that clock in anytime from on the hour to 7 minutes past the hour are paid from the hour.
  • Employee B with a start time of 8:55am, clocks in at exactly 9.00 but will be paid from 9:00, since the clock swipe is exactly on the hour.

Configure PayGlobal to Consider Clock Swipes on the Hour

This option is controlled by a switch in the HR.ini file under the relevant Company section

Using 15 minute roundings to pay before the hour (alternative behaviour)

The result of the HR.ini configuration is shown as follows

  • Employee A with a start time of 8:55am, clocks in at 9.02 so will be paid from 8:55am. In this example, employees that clock in anytime from on the hour to 7 minutes past the hour are paid from the hour. This behaviour is identical to the default above
  • Employee B with a start time of 8:55am, clocks in at exactly 9.00, but since PayGlobal has been configured to enable clock rounding for swipes on the hour, the employee will be paid from 8:55, since the clock swipe is exactly on the hour.
