Security Profiles - Document Folders

Summary

The Document Folders tab controls access to documents in Document View. Before you set up document security on this tab, you need to set an access level for Document View on the Menu tab.

Although you can use Document View in PayGlobal, you would mainly use it with Self-Service. You need to set an appropriate access level for each folder in Document View. For example, a manager will have greater access rights than a standard Self-Service user.

Note: Users who do not have a security profile can only access the Documents root folder.

Default Settings

All security profiles have "Edit" access to the Documents root folder. You cannot change this access level.

If a user creates a new folder, then only the security profile used to create the folder has "Edit" access to it. All other security profiles have "None" access. You would need to give each security profile appropriate access to the new folder.

New security profiles have "None" access to document folders. You need to give new security profiles appropriate access to each folder.

Access Levels

Edit

The user can perform all valid actions, including adding documents to the folder.

View

The user can view and open all documents in the folder. However, they cannot:

  • Edit the database copy of the document.
  • Update document settings.
  • Move documents in or out of the folder.

None

The user cannot see the document folder or any documents in that folder.

Note: If a document seems to be missing, then check the relevant security profile because the folder could have the Access Level = "None".
