Administration | Security | Security Profiles | Menu tab
Summary |
The Menu tab contains three sections:
|
Security Profile Tree |
The Security Profile Tree replicates the PayGlobal tree structure. You can expand folders to see entities, makeup tables and commands. You can set access levels for each of these. You can also control the information that is displayed in the grid for each user. |
Security Fields |
Access Level:This field defines the access level to a module, folder, entity, makeup table or command in the security profile tree. Access is applied 'top down' so it is inherited from the level above. For example, if you assign "View" access to the Payroll module, then even though the contents of that module could show "Edit" access, the user will have only "View" access. However, you could reduce access further by assigning "None" access to specific parts of the Payroll module, even down to tab page level (see Tabs below).
Limit rows on initial display: Click this link for further information. Default Query:The default query determines what a user can see in an entity grid. For example, you could set the Default Query to show only staff in certain departments when the Employees entity is selected. Important: Users who have an active Default Query cannot completely process Actual pays or pay periods. Although processing is successful, the pay status will not change to "Processed". Their Default Query must be disabled before these users can completely process pays. Security Query:You can apply a Security Query to an entity in addition to the Default Query, but it affects only the records displayed. For example, you could set up a Security Query to display only waged employees in the grid and Transaction View. Users cannot override a Security Query and it always runs on top of any other query in that entity. Note: The Security Query is applied only to records displayed in the grid and Transaction View. It does not affect Process Actual Pay or Process Pay. An employee with a Security Query can fully process pays. Report Group:You can attach a Report Group to an entity or makeup table. When you are in that table, you can use the right-click menu to run designer reports in the attached Report Group. Workflow Group:You can attach a Workflow Group to an entity or makeup table. When you are in that table, you can use the right-click menu to access a workflow in the attached Workflow Group. |
Tab Security |
The Tabs section lists tab pages in the selected entity or makeup table. You can define access down to tab page level, but access is inherited from the level above, as defined on the security profile tree. If the checkbox contains a black tick, then the user can edit fields on that tab page. If the checkbox contains a grey tick, then the user can view fields on that tab page, but not edit them. If the checkbox is empty, then the user cannot see that tab page. The access level that you assign to the entity or makeup table will not change the tab checkboxes. For example, if you assigned View access to the Periods entity, then even though the tab checkboxes could show Edit access, the user will have only View access. However, you could reduce access further by assigning None access to specific tab pages. |
