Using Diary View

Diaries | Diary View

Summary

When you open Diary View, no records are displayed, even though you may have processed the diary data. You need to configure Diary View to display the information you require. You can display records for the entire year, or for a portion of the year. For example, you can display calendar entries for a week or a month at a time.

Set date range

To set the date range select the required dates. The selected dates are highlighted blue.

You can use the following shortcut keys:

Click and drag your cursor over the required area.

Select days in that part of the calendar.

Shift+Ctrl+End

Select days from the currently selected date to the last day of the calendar.

Home

Go to the first day of the month.

End

Go to the last day of the month.

Ctrl+Home

Go to the first day of the calendar.

Ctrl+End

Go to the last day of the calendar.

Shift+Home

Select days from the currently selected date to the beginning of the month.

Shift+End

Select days from the currently selected date to the end of the month.

 

Quick Results

Records for the selected dates are displayed in the Drill Down area, but they are not displayed in the calendar. You must set up these dates as colour-coded Quick Results before you can view them.

Layouts

After you customise your Diary View layout, you can save it and then use the Layout field to change the layout as required.

Manually add diary transactions

Diary View transactions are automatically generated when you Process Diary Data, but you can also add diary transactions manually.

  1. In Diary View, click the date that you want to add the diary transaction to.
  2. Press Tab to move to the Drill Down area.
  3. Press Insert to add a diary record.
  4. Complete the following fields in the Inserting a Diary Record form:

    Date

    The date that you clicked is selected automatically. If you selected an incorrect date, then you can change it.

    Diary Code

    Select a Diary Code from the pick list.

    Entity Type

    Click the Employee entity.

    Entity Code

    Type an employee code or select an employee from the pick list.

    Priority

    Valid values are 1 (highest), 2, 3, 4 and 5 (lowest). Give each diary record a priority so that you can sort or group diary transactions by the priority value. This value does not affect any other PayGlobal functions.

    Status

    Optional. You can use this field to show the status of the transaction. Type a status such as Pending or Complete.

    Text

    Type the action to be taken, such as Parental Leave Approval due.

    Click OK to display this diary transaction in Diary View.

  5. Press Ctrl+S to save your changes.
