Document View and Self-Service

Document View

Summary

PayGlobal Self-Service is a web-based information processing and delivery tool that works directly with the PayGlobal database. PayGlobal Self-Service allows employees to easily access and manage their personal, payroll, leave, and administrative information online using a standard web browser.

Document View allows you to publish a variety of documents to the Self-Service website. Documents such as company policies can be published so that all employees can view them. Documents relating to an individual can also be published so that only the employee concerned can view them.

To publish a document to Self-Service, you must complete the following procedures.

1. Set folder security.

2. Add a document to a folder and publish to Self-Service.

Step 1.

Self-Service uses the same folder structure as Document View.

  1. Navigate to Administration | Security | Security Profiles.
  2. Double-click a Self-Service security profile.

    The View Security Profiles | Menu tab appears.

  3. Click the Document Folders tab.
  4. Click Edit.
  5. Click the new folder.
  6. Change the Access Level to View.
  7. Click Save + Close.

You need to repeat this procedure to update the folder security for each of your Self-Service Security Profiles.

Step 2.
Add a document to a folder and publish to Self-Service
  1. Double-click Document View.

    The Document View window appears.

  2. Click the folder that you want to add the document to.
  3. Right-click the right-hand pane to see the menu.
  4. Click Add Document from File.

    The Open window appears.

    Note: Alternatively, you can click New Document to open Microsoft Word and create a new document in Document View.

  5. Browse to the location of the required document.
  6. Click Open.

    The Document Settings window appears.

    Important: You must complete the following two steps to publish the document to Self-Service.

  7. In the Attach To Entity list, you must select Employee.

    If you select an entity other than Employee, then a ‘HTTP 404 – File not found’ error appears when an employee attempts to open the document.

  8. If you want only a specific employee to see the document, then click the pick-list button and select that employee in the Select Record field.
  9. Click the Publish to Self-Service check box. Click OK.

    Note: If you want to publish a document that is already held in Document View to Self-Service, then right-click the document and click Document Settings to open the Document Settings window.

Trouble-shooting

If you cannot see the correct folders and documents, then do the following:

  • Open PayGlobal Document View and check that the Published check box is ticked on this document.
  • Open the document settings and check that the Employee entity is selected.
  • Review the access level settings for the folders in the employees Self-Service Security Profile.
