Employees - Self-Service

Employees | All Modules | Details | Self-Service tab

Summary

Note: The Self-Service tab page is visible only when you are licensed to use Self-Service and the Self-Service module button is active.

This tab page allows you to:

  • Control access to Self-Service for an employee.
  • Set passwords for the Self-Service web site.
  • Prevent an employee from using Self-Service by removing their username and password.
  • Reset Multi-factor Authentication setup

Self-Service Enabled

This setting controls access to Self-Service. If this is set to No, the employee will be prevented from logging into Self-Service.

This field will automatically be turned on when Generating a password, and turned off when Removing a password.

Passwords

Note: If employees do not have an email address in their employee record, then you cannot use this procedure. You need to advise them of their password by phone or in writing. Employees may be able to generate their own passwords by using the First time user function in Self-Service.

Use the following procedure to generate a password for an employee:

  1. In Edit mode, click Generate.

    A Confirm message appears: "Are you sure you want to generate a new Self-Service Username and Password?"

  2. Press Enter or click Yes.

    The Set Self-Service Password box appears.

  3. You can type a password in the Password and the Confirm Password fields. If you do not set a password for the employee, then PayGlobal will automatically generate a random password for them. Click OK.

    The Send To… box appears.

  4. Click the required email address.

    Note: The employee's email addresses are copied from the employee record.

  5. Click OK.

    The Set Up Email Template box appears.

  6. Click OK.

    An Audit log Confirm box appears.

  7. Press Enter or click Yes to view the log.
  8. Press Esc to exit the log.

    An Information message appears: "A new Self-Service Username and Password has been generated. Save the Employee record to validate the Password in Self-Service."

  9. Press Enter or click OK.
  10. Click Save + Close to return to the main window.

    The email is sent to the employee immediately and does not go to the Outbox.

Remove a User

When an employee is terminated, you should remove their username and password so that they cannot access the Self-Service website.

  1. In Edit mode, click Remove.

    A Confirm box appears.

  2. Press Enter or click Yes.
  3. Click Save + Close to return to the main window.

Multi-Factor Authentication

Read only field that displays either Registered or Unregistered to identify whether the employee has Multi-Factor Authentication (MFA) setup and in effect.

  • Registered - MFA has been setup for this employee, and is actively using MFA to log in.
  • Unregistered - MFA has not been setup by the employee at this stage and will be requested to setup when the employee next signs in. Once setup has been completed, this field will update to 'Registered'.

A reset button is also displayed to set the status back to 'Unregistered', requiring the employee to setup MFA again when the user next logs in.

The reset button is only enabled if the status is set to 'Registered'.

Multi-Factor Authentication mode

Read-only field that displays how the employee will receive the Multi-Factor Authentication (MFA) code required for Self-Service login. This field will be empty for employees who have not yet set up MFA.

 

The reset button also clears the Multi-Factor Authentication (MFA) mode, allowing the employee to choose a new authentication method when setting up MFA again.
