KiwiSaver Update Tool - Update Details

Summary

Note: The KiwiSaver Update Tool command appears in New Zealand databases only.

The KiwiSaver Update Tool command automates the process of updating the employer's and/or employee's contribution when the required minimum is not met.

Important: You can run the KiwiSaver Update Tool for dates in unopened pay sequences only.

Procedure

When you click the Update Details button, PayGlobal verifies details on the KiwiSaver Update Tool form. If they are correct, then you can run the tool in update mode to change Employee Super Funds records that require updating, and then check the update details in the resultant audit log.

  1. Click the Update Details button.

    PayGlobal verifies the details on the form.

    • If some details are incorrect, then a Warning message appears, such as:

      "The Application Date must be later that the most recent open or closed period end date in the system which is currently 02/04/2013".

      When you click OK, PayGlobal returns you to the KiwiSaver Update Tool form. You must enter correct details before you can continue.

    • If all details are correct, then the following Confirm message appears.

      "Are you sure you wish to update the selected details?"

      Click Yes to continue or No to return to the KiwiSaver Update Tool form.

  2. If you decide to continue, then PayGlobal runs the KiwiSaver Update Tool in update mode.

    An audit log Confirm message appears.

  3. Click Yes to view the audit log.

    After updating, an audit log appears with a list of the Employee Super Funds records that were updated.

  4. Press Esc to return to the KiwiSaver Update Tool form.

Update Process

When you decide to update the selected details, the KiwiSaver Update Tool does the following for each Employee Super Funds record that requires updating:

  • Enters an End date on the current Employee Super Funds record that is one day before the Application Date value. For example, if Application Date = 07/04/2013, then PayGlobal would enter End date = 06/04/2013.
  • Creates a new Employee Super Funds record modelled on the current record:
    • Start date is the Application Date value (such as 07/04/2013)
    • End date is the same as the original record (such as [Blank])
    • Employer (%) is the new value determined by the tool to meet the minimum contribution requirements (such as 3.000000).
    • Employee (%) is the new value determined by the tool to meet the minimum contribution requirements (such as 3.000000).
  • For each employee that it updates, the tool creates an Employee Notes record entry on the employee's Payroll Notes tab to indicate that a new Employee Super Funds record was created.
