Leave in Open Periods (LOP)

Summary

LOP is an optional feature within the Rostering and Time & Attendance (T&A) modules. 

LOP includes the following key features:

  • Have leave approved in Employee Self Service (ESS) flow through to Roster and/or Actuals pays.
  • Be able to edit/delete approved leave in ESS and have the changes flow into the Roster and/or Actual Pay.
  • Have salaried workers expected worked times automatically adjusted for leave. 
  • Have leave flow around actual worked time for employees who use clocks.
  • Have leave flow around actual worked time for employees who have their actuals imported.
  • Improved validation of leave requests being submitted via ESS. For example:
  • If an employee tries to submit a leave request for a period of time where they had been "clocked in" for the day, then ESS will stop the employee from submitting this leave request.
  • ESS will stop you from submitting a leave request that is outside your roster.

 

Who can use LOP?

You can use lLOP if your setup meets ALL of the following conditions:

  • ESS is version 5.0.0.0 or newer;
  • PayGlobal is version 4.23 and is licensed for the Rostering and/or T&A modules;
  • Your employees have some form of "roster",
    i.e. they must have a minimum of either a Tour, a Shift Override or a Timeband Override setup on their employee record.

Your employees have a Leave Request Setting record with Display Schedule Source and Leave units required source is set to "Rostered".
For leave to flow into Rosters/Actual pays employees need to have their leave sourced from rostered hours so that timeband details, such as start and end time are known. Leave Request Setting records without these settings do not provide enough information for the LOP feature to work.

Your employees have a Leave Approval Settings record with Write leave requests to set to "Open Roster/Actuals"

NOTE: This last point is the main trigger for turning on LOP.
