Summary

Use this command to import Employee Work Profiles from a third party software package or from a file that meets the format criteria.

Employee Work Profiles refer to the combination of the employees profiled work hours (found in the Employees - Payments tab) and the Employee Definition of Week.

You would use this command if you:

• Want to use external timekeeping data in the calculation of leave and liability data.

For example, the employee has an agreed definition of week based of the hours worked within a given period and this data is recorded in a third party T&A system.

Pre-requisites

You can use this command only if:

• You have set up the following details on the Company Settings | Payroll | Import from T&A | Import Work Profiles tab:

  Work Profile data path - If this path is not specified, then PayGlobal uses the Company Data | Import folder.

  Import file - This field must contain the actual file name and extension of the file to be imported. A file mask can be used eg *.CSV but it is highly recommend that you do not use the file extension .BAK for your files

Fields

Import Files:

The import file(s) contain the profiled hours for the employees.

The Import file values on the Company Settings - Import Work Profiles determine the types of files that you can see in the Import Employee Work Profiles | Import Files field.

For example, if Import file=*.csv, and there are multiple CSV files in the specified folder, then you can select which files you want to import.

Detailed Log:

Yes/No field that determines the amount of information displayed in the audit log.

Update Profiled Hours:

Yes/No field that determines how PayGlobal treats profiled hours in the import file.

• Yes (default setting)

  When the file is imported both the Employee Definition of Week and Profiled Hours will be updated.

  The employee profiled hours will be updated to the hours active at the current date if data for that date exists in the file.

• No

  Only the Employee Definition of Week will be updated during the import process.

Existing Employee Definition of Week Records

If the file contains Work Profiles for employees who already have an existing definition of week the existing definition of week will be ended and a new definition created.

The import process will calculate the Total Hours and Total Days (based on those days with non zero values) when creating the new Employee Definition of Week.

Note: If an employee who is workforce management enabled has Work Profiles within the import file, these work profiles will not be imported. The work profile is sourced from workforce management.

Important: PayGlobal uses the Employee Work Profile for liability and annualised salary calculations. Using this import process will recalculate the employee's annual leave allocations (if necessary) but does not automatically trigger a recalculation of any liability or annualise salary details within PayGlobal and these will need to be triggered manually.
