Sick Leave Tables - Rollover

Summary

This tab controls what PayGlobal does with an employee's sick leave units upon reaching a sick leave anniversary.

The fields on this tab allow PayGlobal to:

  • 'Top-up' the number of units accrued in a sick leave cycle if the accrued entitlement is less than the minimum yearly entitlement.
  • 'Cap' the total number of sick leave units an employee can accumulate at any time.

Fields
Maximum accumulated units:

This field defines the total number of units an employee can accumulate.

If an employee already has the maximum units accumulated, then on reaching their next anniversary the units will not be increased.

Example: The maximum units an employee can accumulate is 120 hours. Each year an employee is entitled to 40 hours sick leave. If the employee already had 100 hours accumulated, then on their anniversary the total number of accumulated units will only increase to 120. This is because the maximum is set at 120 hours.

If your organisation does not specify a maximum number of sick leave units an employee can accrue, then this field should be left blank.

For New Zealand companies that do specify a maximum value, this field should not be less than 20 days in a year - refer to the NZ Holidays Act 2003, section 66, subsection 2.

Maximum accumulated type of units:

This field defines how the accumulated units are stored. The options are:

  • Hours
  • Days
  • Blank

If this field is left blank, PayGlobal will use the unit type specified in the Sick Leave | Values | Type of unit field.

Minimum accumulated units:

This field defines the minimum number of units an employee should accumulate in a single sick leave table cycle.

Example: The minimum was defined as 40 hours and during the course of the year an employee has only accrued 37 hours. When the employee reaches their anniversary, the number of units accumulated on rollover will be increased to 40.

If your organisation does not specify a minimum number of sick leave units an employee can accrue, then this field should be left blank.

In New Zealand, for employees that are entitled to sick leave, this field should not be less than 10 days for each 12-month period - refer to the NZ Holidays Act 2003, section 65.

This field defines how the accumulated units are stored. The options are:

  • Hours
  • Days
  • Blank

If this field is left blank, PayGlobal will use the unit type specified in the Sick Leave | Values | Type of unit field.

Round to nearest 0.25 on rollover:

This field defines whether employee accumulated units should be rounded to the nearest 0.25 or remain as an exact calculated figure.

The options for this field are Yes or No.

 

 

 

 

Important: Sick leave tables can be setup to Accrue and/or Pay in hours, and although the maximum/minimum type of units on the Rollover tab can be set as Days, in order for PayGlobal to accurately calculate a unit value the employee must have profiled hours.

For example:
Employee profiled hours = 25.67
Employee non-zero days = 5
Maximum accumulated units = 10
Maximum accumulated type of units = Days

PayGlobal works out the average hours per day from the profiled hours, then multiplies this by the value of the Maximum accumulated units field.

25.67 / 5 = 5.134 (average hours)

then

5.134 * 10 = 51.34 (unit value in hours)
