Sick Leave Tables - Values

Summary

The Values tab page controls how sick leave is accrued. The options that you select in certain fields will affect the availability of other fields on the page.

Fields
Type of unit:

Employees can accrue their sick leave entitlement in days or hours.

Accrual method:

This field defines how employees accrue their sick leave entitlement units each pay period. The accrual units (days or hours) are determined by the option that you selected in the Type of unit field.

Accrue entitlement weekly:

This field determines whether employees accrue sick leave on a pay period basis or become entitled to the full amount of sick leave when they complete the specified leave period.

Important: The option that you select in this field will significantly affect how you set up other fields on this page.

  • No

    At the beginning of the new sick leave anniversary period, PayGlobal uses the accrual rate of the new table to calculate the employee's Total accrued sick leave.

  • Yes

    At the close of each pay period, PayGlobal uses the accrual rate of the current sick leave table to calculate the employee's Total accrued sick leave.

Accrual rate per pay period:

Enabled when the Accrual method = "Fixed units", "Proportional units", "Qualifying units", "Cycle" or "Y-Cycle Fixed".

  • Fixed units

    Accrue entitlement weekly = "Yes"

    Employees receive the Accrual rate per pay period value each pay period. If the employee is paid weekly, then Accrual rate per pay period is a weekly value. If the employee is paid fortnightly, then Accrual rate per pay period is a fortnightly value.

    Accrue entitlement weekly = "No"

    The Accrual rate per pay period value is the total amount accrued over this sick leave cycle. For example, if the sick leave cycle is equivalent to one year, and employees are entitled to 40 hours sick leave, then Accrual rate per pay period = 40.

  • Proportional units and Qualifying units

    PayGlobal multiplies the Accrual rate per pay period value by the employee's qualifying hours to calculate their proportional sick leave entitlement.

Stand down period (months):

Employees may be entitled to sick leave from their first day of work. However, companies may not allow employees to take any sick leave in their first six months of employment. Such employees have a six-month stand down period. If Stand down period (months) = 6, then a warning appears when you try to add a sick leave transaction for an employee during their first six months of employment.

Entitlement (weeks):

Enabled when Accrual method = "Average units", "Proportional units", "Rostered units", "Weekly Rostered units", "Cycle units" or "Y - Cycle Fixed units". This field indicates how many weeks of sick leave an employee is entitled to when this sick leave table rolls over.

Entitlement (units):

Enabled when Accrual method = "Standard units". This field indicates how many units of sick leave an employee is entitled to when this sick leave table rolls over.

Maximum units accrued per week:

The maximum number of units that an employee can accrue each week. If Accrual method = "Average" or "Proportional", then the following rules apply:

  • Average

    The Maximum units accrued per week value is the maximum length of one entitlement week, not the amount that accrues in that week. For example, if legislation states that an entitlement week cannot be more than 40 hours or five days per week, then you would use one of these values as the Maximum units accrued per week.

  • Proportional

    The Maximum units accrued per week value is the maximum amount of sick leave that an employee can accrue in one week. For example, if an employee's yearly entitlement was one week at 40 hours per week, then the Maximum units accrued per week would be:

    ( 1 * 40 ) / 52 = 0.7692 hours per week

     

Calculation of qualifying hours:

Enabled when Type of unit = "Days". If you add a transaction for one day's sick leave PayGlobal has to determine the number of hours on that day.

This field gives you the ability to specify how to convert sick leave days to sick leave hours.

If Convert AL units to qualifying hours is true, you should use one of the options :-

C. Profiled hours - uses the actual profiled hours on the leave days (use only if you are paying in days)

D. Average hours - use the employee's average profiled hours

If Convert AL Units to qualifying hours is false, you should use the option

E. Use Quantity - uses the transaction quantity

which implies that you are paying in hours.

If you have selected the C. Profiled hours option and you are paying in days, the daily rate will be corrected to use the hours on the day(s) rather than an average daily rate.

The calculated sick leave hours can then also be included in any hourly accumulators if the accumulator is of type hourly conversion.
