Transaction View

Summary

The Style toolbar allows you to customise the layout of your Transaction View window and the type of information that it displays. The values that you select become defaults so they are used whenever you access Transaction View.

Layout

You can customise your Transaction View layout, and then save your layout so everyone can use it. See File - Save Layout As. Your new layout is added to the Layout field options in the Style toolbar.

To activate a layout:

  1. Select the required layout in the Layout drop-down box list.
  2. Click Go!

    Note: Other users can use your layout, but any changes that you make to the Default layout are saved in your user profile only.

Query

You can apply a query to filter the employees displayed in your current view. The queries listed in this field are from the Employees | View Queries tab page.

Apply a query:

  1. Select the required query in the Query drop-down box list.
  2. Click Go!

Check a query:

If the query that you require is not in the Query drop-down box list, but it is on the Employees | View Queries tab page, then:

  1. Navigate to the Employees | View Queries tab page.
  2. Double-click the required query to open it.
  3. Change the Details tab | Security field from 'Yes' to 'No'.

    When Security = 'No', you can view the query in the current view.

If the query that you require does not exist, you need to Create a Query on the Employees | View Queries tab page.

Note: When you select a query that results in no employees being displayed, then the Query value changes to 'Default', and the following warning appears:
'No Employees could be displayed for this query and period code. Query has been reset back to the default'.

Useful queries:

You could create a query for each period code (such as Weekly and Monthly) using the following clauses:
'Termination date is empty'
and
'Period code is equal to [weekly or monthly code]'.

Apply the query to view only current employees for the specified period code.

View

This field controls the type of information displayed in Transaction View.

  • Sequences

    Displays a summary of the employees transactions when they have been processed.

  • Permanents

    When you change to Permanents View, the default Employee View will be empty. You need to customise columns in Employee View display permanent transaction information.

For example:

  1. Use Customise columns to add a new Numeric Column.
  2. Click in a cell corresponding to the new numeric column to make this the active column.
  3. Navigate to Tools | Customise | Customise Column Extensions.
  4. In the Data source combo list, select:
    {current view}.Sum of Allowances (quantities).
  5. In the Caption field, type Quantities.
  6. Click OK.
  7. In the View combo list, select Permanents.
  8. Click Go!.

    The new column displays total permanent transaction allowance quantities for each employee.

Save your layout

When you finish customising your layout, you must use File | Save Layout As to save your settings. Your most recently saved layout becomes the default layout, and you will see it whenever you access this window. If you do not Save Layout As, then your changes will be lost when you exit or apply another layout.
