Leave Request Modules (Self-Service)

Summary

After an employee submits a leave request using Self-Service and their manager approves it, the leave application is forwarded to the PayGlobal database. You can view leave requests in PayGlobal Transaction View. Each leave request has a Start and End date. The leave request may be split into different pay periods so the leave is paid at the correct time. When a leave request is split into different pay periods, it is assigned to a module. The module determines how PayGlobal will treat the leave request.

Modules

The available modules are:

  • P – Payroll

    Tag these leave requests and process them in the Payroll period that they should be paid in. PayGlobal pays the employee’s leave in the pay period that contains the leave Start date. If the leave request Start date is in a past pay period, then the employee is paid for the leave in the next pay.

  • T – Timesheets

    The applicant and their manager are responsible for entering leave in the employee’s timesheets. PayGlobal ignores leave request entries assigned to this module. The leave request is flagged as paid when the Payroll period that contains the leave dates is closed.

    You cannot tag and process a leave request assigned to module ‘T’ and it will not flow through into Daily View.

  • F – Future Rosters

    If the leave request Start date is for a future Roster, then opening that Roster will populate it with the leave entry. The leave is then visible in Daily View.

    You cannot tag and process a leave request in Transaction View that is assigned to module ‘F’.

    Note: Leave is configured specifically for each company and you may not use all three modules.

Dates

The following dates determine which module a leave request is assigned to.

  • Last paid date

    End date of the last closed Payroll period for the leave applicant.

  • Last Roster date

    End date of the last opened Roster period for the leave applicant.

  • Last Actuals date (if you use Time & Attendance and not Rostering) End date of the last opened Actuals period for the leave applicant.
