Transaction View - Employee View

Summary

When you move a Details column header into the Employee View heading area, employee data will be grouped by that header.

Note: You can also use this method to group transactions in Drill Down by any header.

Customise Columns

The default Transaction View layout has only Code and Name in Employee View Details. You need to use Customise Columns to add other columns that you can use for grouping, such as Department.

The following example assumes that you have added a Department column to Employee View Details.

Group by one column header

This example groups employees by department.

Drag-and-drop the Dept column header from Employee View Details into the Employee View heading area.

When you drag a column header, two green arrows indicate where the header will be placed when you release the mouse button.

  • To expand a department group, click the plus (+) button beside the department.
  • To contract department group, click the minus (-) button beside the department.

Group by multiple column headers

This example groups employees by department and within each department by location.

  1. Drag-and-drop the Department column header from Employee View Details into the Employee View heading area.

    When you drag a column header, two green arrows indicate where the header will be placed when you release the mouse button.

    Employees are now grouped by Department.

  2. Drag-and-drop the Location column header to the right of the Department column header in the Employee View heading area.

    Employees are now grouped by Department first and by Location second.

    Note: If you drag-and-dropped the Location column header to the left of the Department column header, then you would group the employees by Location first and Department second.

Sorting

You can sort records based on their grouping. If you group employees by Department, you can sort Departments in ascending or descending order. If you group employees by Department first and by Location second, you can sort both groups in ascending or descending order, and sort employees within those groups by any ungrouped Details header. In the previous example, you could sort by Department in ascending order, Location in descending order, and sort employees by Code in ascending order.

Full Contract and Full Expand

When you have grouped your data, you can use the Full Contract and Full Expand buttons in the Grid toolbar.

Details

Full Expand - Opens all groups. In the previous example, all employees in all Location groups in all Departments will be displayed.

Full Contract - Closes all groups. In the previous example, Departments only will be displayed.

 

Save your layout

When you finish customising your layout, you must use File | Save Layout As to save your settings. Your most recently saved layout becomes the default layout, and you will see it whenever you access this window. If you do not Save Layout As, then your changes will be lost when you exit or apply another layout.
