Audit Analysis

Any Grid | Right-click menu | Audit Analysis

Summary

Audit Analysis displays a list of changes that have been made to the tables in PayGlobal. This audit is not limited to changes made to an employee's record but includes any other tables that have been affected by a change. For example, opening a Standard pay will show that changes have been made to the pay period sequence and pay period tables.

Audit Analysis displays the following information:

  • The Date and Time the change was made.
  • The User Name of the person who was logged on when the change was made.
  • The Event: Insert (I), Edit (E), Delete (D).
  • The Table Name and the Field Name that were changed.
  • The Before value (if one existed before the change was made) and After value.
  • The Employee Code, Last Name and First Names of the employee that the audit is related to (if applicable).
  • The Record ID of the code relating to the field and table that was changed.

In addition to this, security profiles can change the security of PayGlobal tree objects, tabs and document folders which will use some additional fields. These can be added by customising the columns:

  • The Security Profile: The security profile that changed.
  • The Security Object: The tree item that changed.
  • The Security Item: The tab or document folder that changed.

Accessing Audit Analysis

There are four different areas from which Audit Analysis can be loaded. These are:

  1. PayGlobal tree structure

    Administration | Security | Audit Analysis. The setting default is All Records and Today’s Transactions.

  2. Global List

    (Shortcut key = Alt+G, then select Audit Analysis). The default setting is All Records and Today’s Transactions.

  3. Entity & Makeup Table Grids

    (Accessed via mouse right-click). The default setting is Current Records and Today’s Transactions.

  4. Entity fields

    (Accessed using F6 key) The default setting is Current Field and Today’s Transactions.

Using Audit Analysis

Audit Analysis can be loaded from all entities. These are uniquely identified within PayGlobal and the user can override the default behaviour for these areas by saving the new settings.

The selection of views is limited to where the Audit Analysis is used from. For points 1 and 2 above, the view options have been restricted to all records. For points 3 and 4, the view options are current field, current record and all records.

For example, if the user selects Audit Analysis from a global list, only the All records view is available because no specific record ID, table or field can be identified.

Procedure

To view changes that have been made in PayGlobal:

  1. Right-click on any grid, for example the Employees grid.
  2. Select View Audit Analysis from the menu to open the Audit Analysis window.
  3. In the View field, select the required view. There are two views to choose from:
    • Current Record

      Displays changes that have been made to the record that you right-clicked on.

    • All Records

      Displays changes that have been made for all records in the selected Grid.

  4. Click Go!
  5. Select the required Filter from the drop- down list.  
  6. Click Go!

The filter includes the option Between Specified Date Range. This option enables two additional fields for you to select the date range.

Filtering the Audit Analysis

PayGlobal uses filtering to help you reduce the number of actions highlighted by Audit Analysis. The Filter field contains a number of pre-set selections that an audit can display.

Select from:

  • Today's Transactions

    Only records changed today will appear on the Audit Analysis.

  • This Week/Month/Year to date

    Records changed this week/month/year.

  • All Transactions

    All records changed.

  • Between Specified Date Range

    Opens up additional fields to record the date range for which you want to view changes.

    Note: You must enter dates in these fields or an error will be displayed.

  • Grouped By Change Date

    Changes with the same change date are grouped together.

  • Grouped by User Name

    Changes with the same user name are grouped together.

  • Grouped By Event

    Changes with the same event are grouped together.

  • Grouped By Table Name

    Changes with the same table name are grouped together.

  • Grouped By Field Name

    Changes with the same field name are grouped together.

  • Grouped By Employee Code

    Changes with the same employee code are grouped together.

  • Grouped By Last Name

    Changes with the same last name are grouped together.
