Summary

Every employee must have a Work Area Position so you use Employee Appointments makeup records to attach an employee to a WAP. WAP records contain a contract so when you add an appointment to an employee’s record, you attach the employee to that WAP, and PayGlobal updates the employee’s Contracts tab.

An employee's Appointments tab displays all WAP appointments that they have held in your organisation.

 

 

Copy Across Defaults

When you add an appointment to an employee's record, you attach the employee to that WAP, and you can copy across default values from the WAP and its associated Work Area and Contract records (see "Confirm Messages" below). The following diagram shows that most values are copied to the corresponding fields in the employee's record, with the following exceptions:

  • The Work Area Positions | Award value is copied to the Employee Appointments | Award field, but the Work Area Positions | Contract | Award value is copied to the Employees | Award field.
  • The Work Area Positions | Appointment Status value is copied to the Employees | Employee Status field.

Confirm Messages

When you add Employee Appointments record and click Save, the following types of Confirm messages appear.

"Copy across Work Area Position defaults, (i.e. Work Area, Position, Pay Period, Cost Centre and Appointment Status codes?"

  • Yes - Copy the default values from the Work Area Positions record to the relevant fields in the employee's record.
  • No - Do not copy the default values from the Work Area Positions record; you need to enter these values manually.

"Copy across Work Area defaults?"

  • Yes - Copy the default values (Location Department, Dims) from the associated Work Areas record to the relevant fields in the employee's record.
  • No - Do not copy the default values from the Work Areas record; you need to enter these values manually.

"The Contract for this Work Area Position xxxx is xxxx. Do you wish to copy it across to Employee?"

  • Yes - Copy the Contract value from the Work Area Positions record to the employee's record.
  • No - Do not copy the Contract value from the Work Area Positions record to the employee's record; you need to enter this value manually.

If you copy the Contract value from the Work Area Positions record to the employee's record, then the following Confirm message appears:

"Copy across Contract defaults?"

  • Yes - Copy the default values (Annual Leave, Sick Leave, Long Service Leave, Award) from the Contracts record to the relevant fields in the employee's record.
  • No - Do not copy the default values from the Contracts record; you need to enter these values manually.

    Note: Changes in HR update an employee’s details in Payroll, but changes in Payroll do not update an employee’s details in HR
