Work Area Positions

Summary

A Work Area Position (WAP) is a combination of a specific Work Area and a generic Position. Every position in the organisation has a "place of work" and this combination is represented by a WAP. WAPs allow you to establish flexible organisational reporting relationships. The WAP is the 'lowest common denominator' in the corporate structure so you can create parent-child relationships between WAP records to establish the organisational chart.

When you create a WAP, you enter 'establishment' data that defines the WAP in terms of:

  • Hierarchical relationships (reporting lines)
  • FTE requirements
  • Default data that you can copy across to payroll fields when you appoint an employee to a WAP.

Advantages

Using WAPS has the following advantages:

  • Flexible reporting

WAPs allow you to report across the business without relying on financial data. You can report on the database from a personnel or organisational perspective. WAPs are comprised of structure elements so in reporting, you can apply them from a consolidated perspective (high level) or you can use their component parts (low level).

  • Define establishment data

WAPs give you the flexibility to define establishment data at low levels. A WAP is a specific instance of a position at a particular place of work. You can specify establishment detail for that WAP, such as budgeted FTE, budgeted cost, hours of work, position status, appointment status, cost centre, and whom the position (or WAP) reports to. The establishment data that the organisation uses to manage its resources and budgets is based on WAPs.

  • Organisational chart reporting

The reporting relationship between WAPs represents the organisational chart. Organisational charting with WAPs allows them to report to WAPs at any level in the chart. Reporting is not constrained by the position classification or work area of either WAP.

  • Easy to create

WAPs provide great flexibility in defining places of work and you can easily create more of them as your organisation changes and develops. As you create new work areas, you can create new WAPs to accommodate the positions that will occur in these new areas.

  • Remuneration

You can apply remuneration ranges, bands or grades directly to a WAP. This simple process allows you to specify WAP (or location-specific) remuneration.

Copy Defaults from Position

After you save a Work Area Positions record, you can use the right-click menu option "Copy Defaults from Position" to copy makeup records from the following Positions tabs to the corresponding tab pages in the Work Area Positions record:

  • Key Result Areas
  • Competencies
  • Qualifications
  • Delegations
  • Course Types.

Organisational Charting

Organisational charting allows you to graphically represent 'parent-child' relationships between WAP records.

Note: In organisational charting, a parent sits above the subject record and children sit below it.

Organisational charting is based on the Parent tab page in the WAP record that contains the 'parent' and 'children' records. These values create relationships between WAP records that is the basis of the organisational chart (Org Chart).

Each WAP (except the Chief Executive or Chairman of the Board) reports to another WAP. A WAP can have only one parent WAP, but a parent WAP can have many 'children'. These relationships allow you to produce a traditional hierarchical organisation chart.

The Parent Code that you select on the Parent tab is displayed in the Reports To field on the Details (i) tab.
