Employees - Leave

Employees | Payroll | Leave | Leave tab

Summary

Use the Leave tab page to control which leave tables an employee is attached to so that the employee's leave is calculated correctly.

It is critical that this tab page is set up correctly. If this page is incorrect, then leave entitlements for an employee are also incorrect.

The applicable leave tables will depend on the structure of your organisation.

Leave includes:

  • Annual leave
  • Sick leave
  • Long service leave
  • Leave credits.

Suspending Leave entitlement e.g. Parental Leave

Sometimes you may need to instruct PayGlobal to suspend an employee's leave entitlement. A common example of this is when an employee is on parental leave.

To suspend leave accruing for a time, yet keep the current accrued leave intact, replace the relevant leave code with one that is set to accrue a nil balance.

Important: Leave accruals will be reset to zero if you remove the leave code altogether and click Save. When changing an employee's leave table, always select the new table before saving.

Fields
Annual Leave
Annual Leave:

Select an Annual Leave Table applicable for the employee.

Leave Table Length:

View only. PayGlobal displays the number of and the percentage of elapsed day on this Annual leave table cycle as at the last closed pay.

Start Date:

For a new employee, this date is generated from the Start Date field in the Employees - Dates tab page.

When an annual leave anniversary is reached, PayGlobal automatically updates this field when the pay sequence containing the annual leave anniversary date is closed.

End Date:

PayGlobal calculates the annual leave End Date automatically using the Days in this AL cycle field in the Annual Leave Tables - Setup tab page based on the Annual Leave | Start Date field.

When the End date falls within the next Period to be closed, the balance of the Annual Leave | Total accrued field is carried over into the Annual Leave | Outstanding field. This includes the portion of the pay period being rolled that is prior to the End date. The portion of the pay period after the End Date is included in the Total accrued field going forward.

Note: This proportional split occurs for all annual leave unit accrual methods and for New Zealand and Fiji databases, it will split any extra week accrual values based on the equivalent balances on the Extra Week tab.

 

Sick Leave
Sick Leave:

Select a Sick Leave Table applicable for the employee.

Leave Table Length:

View only. PayGlobal displays the number of days elapsed on this sick leave table cycle as at the last closed pay.

Start Date:

For a new employee, this date is generated from the Start Date field in the Employees - Dates tab page.

When a sick leave anniversary is reached, PayGlobal automatically updates this field when the pay sequence containing the sick leave anniversary date is closed.

End Date:

PayGlobal calculates the sick leave End Date automatically using the Days in this SL cycle field in the Sick Leave Tables - Setup tab page based on the Sick Leave | Start Date field.

When the End date falls within the next Period to be closed, the balance of the Sick Leave Total accrued field is carried over into the Sick Leave Outstanding field (including that period's accrual). The annual leave Total accrued field is then reset to zero.

 

Long Service Leave
Long Service:

Select a long service leave table for the employee if they are entitled to accrue long service leave.

Leave this field blank if the employee does not accrue long service leave.

Leave Table Length:

View only. PayGlobal displays the value from the Current period length (years) field in the Long Service Leave - Setup tab page as at the last closed pay.

Start Date:

Use this field to display the long service leave recognition date (the date when the employee can start accruing entitlement to long service leave).

In most cases this date will be the same as the employee's employment start date.

This field does not update when an employee reaches a long service leave anniversary.

End Date:

PayGlobal calculates the long service leave End Date automatically, using the Current period length (years) field in the Long Service Leave - Setup tab page.

For the employee's first long service leave table, the End Date is calculated based on the long service leave Start Date field.

For the employee's subsequent long service leave table(s), for example reaching a long service leave anniversary, the long service leave table field Next Table on cycle end (option) is populated and the End Date is calculated, based on the previous long service leave End Date field.

When the End date falls within the next Period to be closed, the balance of the long Service leave Total accrued field is carried over into the long service leave Outstanding field (including that period's accrual). The long service leave Total accrued field is then reset to zero.

 

Leave Credits
Leave Credit:

Select a Leave Credit table applicable for the employee.

Leave Table Length:

View only. PayGlobal displays the value from the Days in this LC Cycle field in the Leave Credit Table - Details tab page as at the last closed pay.

Start Date:

The leave credit Start Date field is only populated if the leave credit table Days in this LC cycle field is populated.

For a new employee, this date is generated from the Start Date field in the Employees - Dates tab page.

PayGlobal automatically updates this field when the Pay Sequence containing leave credit anniversary date is closed.

End Date:

PayGlobal calculates the leave credit table End Date automatically using the Days in this LC cycle field on the Leave Credit Table - Details tab page, based on the leave credit Start Date field.

For the employee's first Leave Credit table, the End Date is calculated based on the leave credit Start Date field.

For the employee's subsequent leave credit table(s) for example, reaching a leave credit anniversary, the field Next Table on cycle end (option) is populated and the End Date is calculated, based on the previous leave credit End Date field.

Synchronising leave data

You must attach leave tables before synchronising in leave balances. If you try synchronising leave data into an employee that does not have a leave table attached for that type of leave, the values will not populate in the leave screens.
