Set Self-Service Passwords

Administration | Set Self-service Passwords command

Summary

Note: The Self-Service Passwords command is visible only when you are licensed to use Self-Service and the Self-Service module button is active.

This command allows you to use a query to e-mail Self-Service employee website user names and passwords to a group of employees.

Note: If employees do not have an e-mail address in their employee record, then you cannot use this procedure. You need to advise them of their password by phone or in writing. Employees can also generate their own passwords by using the First time user function in Self-Service.

Procedure

You are on the main PayGlobal window.

  1. Navigate to Administration.
  2. Double-click Set Self-Service Passwords.

    The Set Self-Service passwords box appears:

  3. Click Generate.

    The Select an employee query window appears.

  4. Double-click a query that defines a group of employees. For example, you may have a query to view only current employees in a specific work area.

    The Send To… box appears.

  5. Click the Work E-mail radio button.
  6. Click OK.

    The Set Up Email Template form is displayed.

    You can use e-mail template tags to insert corresponding information from the employee record.

    The following tags are available:

    Note: PayGlobal saves the content and layout of the e-mail template every time you update it.

  7. Click OK to e-mail the passwords.

    An Audit log Confirm box appears.

  8. Press Enter or click Yes to view the log.

    The log lists employees who will receive the e-mail message.

  9. Press Esc to return to the Set Self-Service passwords box.
  10. Click Close to return to the main window.
  11. Navigate to Local Folders | Outbox.
  12. Check that the e-mails are saved in the Outbox.
  13. Click Send and Receive to send the e-mails.
