Purge Closed Actuals

Time & Attendance | Purge Closed Actuals command

Summary

Whilst actuals pays are open, data is held in various "Current" transaction tables. Once you close an actual pay, the data is copied into the related "Historical" transaction tables. This is done to preserve data integrity of open and closed actual pays. Overtime having duplicate data in multiple places can effect database size and performance.

The Purge closed actuals command enables you to remove duplicate data from the "Current" T&A transaction tables so that there is only one copy in the database.

Use this command will purge the following T&A data:

  • Clock Transactions
  • T&A Timebands
  • T&A Transactions.

When to purge

You should purge actual pay periods every time you open a new Actual Pay.

If you have more than one pay period set up, for example fortnightly and monthly, you should purge only fortnightly Actual pay periods when you open a fortnightly pay; and purge only monthly Actual pays when you open a monthly pay.

Process
  1. When the Closed Pays to Purge from Current window appears, click the check box for the pay periods that you want to purge.
  2. Click OK.
