Entitlement date rule:
If the employee takes leave without pay, then this rule determines the effect on their annual leave end date. PayGlobal updates the employee's Absent Weeks value every time they take 'leave without pay' using an allowance with Show Weeks Absent = "Yes".
Entitlement date rule options are:
- No Effect
The employee's annual leave end date does not change and any LWOP weeks absent will be ignored.
- Move end date
If an employee takes more than 1 weeks LWOP (i.e. Show weeks absent value on the Employee's Annual Leave O/S tab is greater than 1), then the employee's annual leave end date will be recalculated and moved forward accordingly.
- Reduce weeks worked
The employee's annual leave end date will not change if they take more than a week of LWOP.
However, when calculating Average Weekly Earnings using the rate calculation method QW. Average Weekly Earnings (H2003Calc) the divisor in this calculation gets reduced by the number of LWOP weeks absent that have been recorded.
The number of weeks the divisor is reduced by comes from the Employee User-Defined Accumulator LWOPWEEKS.
Public Holiday on termination:
The Public Holiday… fields control how PayGlobal actions Section 40 of the NZ Holidays Act 2003. The Act states that you need to add the outstanding annual leave to the termination date and pay the employee for any statutory public holidays in that period.
- Warn Only
A warning message is displayed in the pay processing audit log.
- Pay Public Holiday
PayGlobal uses a specified allowance code (see below), along with the employee's profiled hours or rostered timeband hours for that day, to create a payment for the statutory public holiday.
Public holidays on termination Allowance Code:
This field is enabled when Public Holiday on termination = "Pay public holiday". PayGlobal uses this allowance code for creating statutory public holiday payments in termination pays.
When selecting an allowance for this field, please ensure the Allowance has the following settings:
- Allowance Type = H. Hourly
- Allowance Rate = is populated with a rate that reflecting Holidays Act definition of Relevant Daily Pay (RDP) or Average Daily Pay (ADP) if RDP can’t be determined.
Note: RDP or ADP are the legal minimum rates. Employers can elect to provide a higher rate if they want.
If Entitlement Units is Days, the rate must reflect a daily rate.
If Entitlement Units is Hours, the rate must reflect a hourly rate.
Note: Using a set up other than that specified above will result in incorrect public holiday payments on termination.
