Org Chart Window

Summary

You can open the Org Chart window from any PayGlobal grid and the default value in the Entity field will be the entity that you were in when you clicked View Org Chart.

Note: The entities that you can create Org Charts for is controlled by the access settings in your Security Profile.

You can customise the Org Chart layout, save scenarios, and apply queries to display individual WAPs or specific branches of the Org Chart.

Open Org Chart window

This example explains how to open the Org Chart window from the Work Area Positions grid.

  1. In the PayGlobal Tree, navigate to Human Resources | Position Management | Establishment | Work Area Positions.
  2. Right-click the grid to see the menu and click View Org Chart.

    A blank Org Chart window appears with "Work Area Position" in the Entity field.

  3. Click Go! to see a basic organisational chart for WAPs.

    For example:

  • Click a 'plus' box on the bottom of a chart box to see the 'children' of the WAP.
  • Click a 'minus' box on the bottom of a chart box to hide the 'children' of the WAP.
  • Double-click any box in the organisational chart to view the PayGlobal record for that WAP.

Fields
Entity:

Select the PayGlobal entity that you require from the Entity drop-down box list. Click the Go! button to see the organisational chart for that entity. The default value is the entity that you were in when you selected View Org Chart. The access settings in your security profile determine which entities are displayed in the list.

Query:

Select the required query from the Query drop-down box list, and click the Go! button to activate it. The Org Chart window contains two Query fields, so you can apply queries to the Entity and/or the View. You can view WAP table and WAP makeup table information.
Queries allow you to:

  • View a specific portion of an organisational chart, such as WAPs for only one location, or specific types of appointments.
  • View WAP descriptions with employee names.
View:

Select additional information that you want to display in the chart boxes (such as appointments), and then click the Go! button.

Work Area Query:

Select a secondary query from the Work Area Query drop-down box list, and click the Go! button to activate it. Work Area queries allow you to view very specific parts of the Org Chart. For example, the WAP query could relate to location and position, and the Work Area Query could relate to department. The secondary query allows you to create query combinations that meet a wide range of conditions.

Customise Org Chart Layout

This example explains how to add appointment details to a basic organisational chart for WAPs, and customise columns.

  1. In the View drop-down box, click Appointments to add appointment details to the chart.

    Now you will add the Work Area Location Description to the chart.

  2. In the main menu, click Tools | Customise Columns.

    The Customise Columns - Work Areas Position form appears.

    The default Selected Columns are:

    • Work Area Position Code
    • Description.
  3. In the Available Columns list, expand Work Area Code, expand Location Code, and then click the checkbox for Description.
  4. Click OK.

    The Customise Columns - Employee Appointment form appears.

    Now you will add the Employee Appointment Name to the chart.

    The default Selected Columns are:

    • Employee Code.
  5. In the Available Columns list:
    • Expand Employee Code and click the Name checkbox.
    • Click the FTE checkbox.
  6. Click OK.

The customised chart appears in the Org Chart window.

Scenarios

After you customise a chart layout, you can save it as an Org Chart scenario.

  1. Press Ctrl+S.

    The Enter name of org chart scenario form appears.

  2. Type a scenario name, such as "WAP – Appointments".
  3. Click OK or press Enter.

To activate this scenario again:

  1. Click the Scenarios button.

    The Org chart scenarios list appears.

  2. Double-click WAP – Appointments.

    Note: When you save a scenario, the data currently displayed is saved as part of that scenario. If you apply a query to the scenario, then it is applied only to the data in that scenario, not to all data in the database.

Changing the Chart Structure

You can drag-and-drop boxes in the chart to create new chart structures and then save them as Org Chart scenarios. Your changes will not affect the actual reporting relationships between WAPs. However, if you change the chart structure and then click Edit | Apply Changes to Entity, then the reporting relationships between WAPs will change to reflect the new structure.

Important: Do not use Apply Changes to Entity unless you are sure that the new reporting structure is correct. Errors in the reporting structure will seriously affect Self-Service.
