Processing Leave Requests

Processing leave requests for one employee

You are in Transaction View and an employee’s leave requests are displayed in the Drill Down area.

  1. Click the Tag checkboxes for all leave requests that you will process in this pay with Module = P.

    An employee may have multiple leave requests for different leave types, such as annual leave and sick leave.

    Note: You cannot tag the following leave requests:
    - Leave requests with Module = F or T.
    - Processed leave requests, which have a date in the Processed column. If you needed to reload and reprocess a leave request, then you would double-click the leave request in Transaction View to open it, and then delete the Processed date.

  2. Press F8.

    A Confirm box appears.
    "Process all tagged leave requests for [employee] to Sequence#[number]?"

  3. Press Enter or click Yes.

    The employee’s leave requests now have a Processed date.

  4. Press Ctrl+1 to change to Sequences View.

    PayGlobal copied the employee's leave transactions into the pay sequence and you can now process them as normal transactions.

  5. Press Ctrl+S to save your changes.

Process leave requests for all employees - Load All Employees

Use can the following procedure to view and process leave requests for all employees.

You are in Leave Requests View.

  1. Click the Drill Down header to make it the active section.
  2. In the main menu, click View | Drill Down View | Load All Employees.

    A record for each employee appears in the Drill Down.

  3. Ensure the Drill Down is still the active section and press F10 to open the Customize list.
  4. Scroll down to Name in the list.
  5. Click the Name button and drag it to the line of column headers.

    Two green arrows highlight where the column will be inserted when the mouse button is released. Generally the employee name is one of the first columns; so when the arrows show that it is correctly positioned, release the mouse button.

  6. Close the Customize list.

    You can now view all employees leave requests in the Drill Down. Click a column header, such as Start to sort the leave requests. Alternatively, you can apply filtering. See the image below.

  7. Click the Tag checkboxes for all leave requests that you will process in this pay.
  8. Press F8.

    A Confirm box appears.

    "Process all tagged leave requests for these employees to Sequence#[number]?"

  9. Press Enter or click Yes.

    The leave requests now have a Processed date. The employees leave transactions were copied into the pay sequence, so you can process them as normal transactions.

Process leave requests for all employees - Customise Employee View

Use can the following procedure to view and process leave requests for all employees.

  1. Use Customise Columns (F10) to add two boolean columns to Employee View.
  2. Use Customise Column Extensions (Alt+F10) to set the boolean data sources to Leave Request Unprocessed (Unproc) and Leave Request Tagged (Tag).
  3. Click a cell in the Unproc column.
  4. Click the Details header row to select all employees in Transaction View.
  5. Press the spacebar to tick all relevant leave requests in the Tag column.
  6. Press F8.

    The following type of message appears:
    "Process all tagged leave requests for these employees to Sequence # [Number]?’

  7. Click Yes.

    PayGlobal transfers all leave requests into the current pay and the ticks disappear from the Unproc and Tag columns because you have processed them.

 

 

Process leave requests for all employees in pay - Tag All for Pay

Use can the following procedure to view and process leave requests for all employees.

You are in Leave Requests View.

  1. Click the Drill Down header to make it the active section.
  2. In the main menu, click Tools | Leave Requests | Tag All For Pay.

    A record for each employee appears in the Drill Down.

  3. The un-processed approved leave requests for payroll, where the leave start date is prior to the period end date, will now be tagged.
  4. Press F8.

    A Confirm box appears.

    "Process all tagged leave requests for these employees to Sequence#[number]?"

  5. Press Enter or click Yes.

    The leave requests now have a Processed date. The employees leave transactions were copied into the pay sequence, so you can process them as normal transactions.

 

 

Quick results

You can also use Quick Results to flag exceptions. 

  1. Navigate to Tools | Customise | Customise Column Extensions | Results | Quick Results tab.
  2. Build the following clause:
    "Total.{current view}.Leave Request Unprocessed for Selected Pays is True".
  3. Click the Details tab.
  4. In the Customise colours if results drop-down box, select Yes.
  5. Select a colour from the palette.
  6. Click OK.

PayGlobal will highlight leave requests that are unprocessed where the start date is less than or equal to the period end date of the selected pay sequence.
