Document View | Right-click the grid

Customise Columns (F10)

Use the Customise Columns command to display more fields, or to hide the fields that you do not use.

To add a new field to the Document View grid:

  1. Press F10.
  2. Drag and drop the required field to the row of column headers.
Refresh (F5)

Use this command to refresh the Document View grid.

Add Document from File (Ins)

See Add Document from File.

New Document (Ctrl +N)
  1. In the Document Tree, click the folder that you want to add the document to.
  2. Right-click the grid to see the menu.
  3. Click New Document.
  4. In the Document Name field, type a name for your document.
  5. Click OK.
  6. Complete the Document Settings.
  7. Click OK.

    A new Microsoft Word document opens.

  8. Create the document.

    You can type directly into the document or paste information from an external document.

  9. Save and close the document.

    The new document appears in the Document View grid.

    Note: Documents are stored in the Documents table in the PayGlobal database.

Edit Word Document
  1. In the Document View grid, double-click a document.

    Alternatively, right-click a document and select Open Document.

    • Microsoft Word documents open in Microsoft Word.
    • Other document types open with their associated program.
  2. Edit the document.

    You can type directly into the document or paste information from an external document.

  3. Save the document and close the associated program window.
Update Document from File

Disabled when Access Level = View.

You can update a document with a version on your hard drive.

  1. Right-click the document and select Update Document from File.
  2. Browse to the location of the new document.
  3. Click Open to replace the original version.

    Note: When you update a document from file, Document View uses the original Document View file name.

Rename
  1. Click the document in the Document View grid.
  2. Press F2.

    The New Document Name box appears.

  3. Type a new name for the document.
  4. Click OK.

Delete
  1. Click the document in the Document View grid.
  2. Press Delete.

    Alternatively, right-click and select Delete.

    A Confirm message appears:

    "Do you want to delete the selected item(s)?"

  3. Click OK.

Note: Individual documents can be viewed from multiple locations. For example, when you attach a document to an entity, you can view the document on the entity’s View Documents tab as well as in Document View. You do not view different copies of the document; you are simply viewing the source document from different portals.

If you delete a document from any portal, then you delete the source document in Document View and remove it from all portals. Similarly, if you delete a document in Document View that is attached to an employee record, then the document is also deleted from the employee record.
