Viewing Documents in Document View

Summary

Document View is intended to be a document repository, not a document writing tool. We recommend that you:

  1. Open the document from the Document View grid.
  2. Click File | Save As to save a copy on your computer.
  3. Edit the copied document.
  4. Save the edited document back to Document View.

The process for viewing documents in Document View depends on:

  • The access level your security profile gives you to Document View and the document folder.
  • Whether the document is a Microsoft Word document

For documents other than Microsoft Word, if you have Edit access for a document, then you can use the Update Document from File command from the right-click menu to update the database copy of the document with the copy on your computer.

Microsoft Word - Edit access

In-house clients only. If you have Edit access to Document View and the folder:

  1. From the Document View grid, double-click the document that you want to edit.

    The document opens in Microsoft Word.

  2. Click File | Save As to save a copy on your computer.
  3. Edit the copied document.
  4. Save the edited document back to Document View.

Other documents - Edit access

In-house clients only. If you have Edit access to Document View and the folder:

  1. From the Document View grid, double-click the document that you want to edit.

    The document opens using the program that is associated with the document file type.

If you want to update a document with a version on your hard drive:

  1. Right-click the document and select Update Document from File.
  2. Browse to the location of the new document.
  3. Click Open to replace the original version.

All documents - View access

PGOS and in-house clients. If you have View access to Document View and the folder:

  • The document opens with ‘Read only’ access, so you can edit the document content, but your changes are not saved back to the database copy.
  • The Update Document from File command is disabled.
  • From the Document View Grid, double-click the document that you want to view. Alternatively, you can right-click the document and select View Word Document from the menu.

    Note: If a Word 2007 file has been renamed with a .doc extension and then uploaded to Document View, an error message appears if you try to view the file in Document View.
