Employees - Documents

Employees | All Modules | Details | Documents tab

Summary

You can attach external documents to records in PayGlobal. For example, you can attach an employee's resume to their employee record.

You can also create a new document from an employee's Documents tab page.

Note: Documents are stored in the Documents table in the PayGlobal database.

When you enter text on the Notes tab, or attach a document to the Documents tab, a document icon appears in the top-right corner of the employee's record.

Attach a document to an employee record
  1. Open an employee record and go to the Documents tab.
  2. In edit mode, press Insert.

    The Windows Explorer Open box appears.

  3. Select the document that you want to attach.

    Note: If selecting an image file that exceeds 250kb the Document Optimiser option will be made available. The image can be scaled down, cropped and/or reduced in quality in order to reduce file size. Files greater than 5Mb will not be added.

    The Document Settings window opens. The employee's Employee Code is automatically selected.

  4. Click OK.

    The document appears on the employee's Documents tab page.

Create a new document in an employee record
  1. Open an employee record and go to the Documents tab.
  2. In edit mode right-click the page and select Create New Document from the menu.
  3. Enter a name for your document.
  4. Click OK.

    The Document Settings window opens. The employee's Employee Code is automatically selected.

  5. Click OK.

    A new Microsoft Word document opens.

  6. Complete the document and then save it.
  7. Close Word to return to PayGlobal.

    The new document appears on the employee's Documents tab page.

View and edit a document

In Edit mode, double-click the document on the Documents tab.

If your security profile gives you only "View" access to Document View, then you can only read the document.

If your security profile gives you "Edit" access to Document View, and the document was directly attached to the employee record, then you can edit the document.

If your security profile gives you "Edit" access to Document View, and the document was split from a master copy, then you can only read the document.
