Employees - Rates

Summary

The Rates tab allows you to enter default values relating to an employee's pay rate. Rates can be applied as a one-off, or made up from an Award.

If a rate is specified in the employee rates table, it will always override the value specified in the award (on the condition the default rate code is the same in both places in the employee file).

If an employee has a rate with an effective end date, a replacement rate must be specified for PayGlobal to use after the first rate has passed its end date. An employee will get a zero rate if there is no replacement rate specified.

Defaults and Rate Overrides Grids

This tab page is divided into two sections, as follows:

  • Use the upper area (default settings) to specify the default rates for an employee.
  • Use the lower area (Rate Overrides Grid) when you do not want the default settings associated with a contract or award to be used for an employee.

Click this button to see a list of the rates for your organisation and the and rate amounts for this employee.

NZ Notes

In NZ databases some rates are calculated based on dates. If you have numerous future pay sequences open some rates will display as zero because no closed pay sequences exist in the required date range to generate a value. Examples of these rates are the ordinary and relevant pay rates used for leave payments. For PayGlobal to accurately calculate these rates, it requires data from closed pay sequences that have occurred in the last 4 calendar weeks.

Rates that are based on Rate Calculation Method "D. Standard Hourly Rate" - this includes Holiday Act Rates that calculate OWP and RDP as non-averaged rate, show a true 'as at today' rate.

Rates that are based on a calculated average, i.e. Holiday Act rates AWE, ADP and the OWP-4 week average, show you the calculated rate as at the last closed pay date. Reminder, as per the NZ Holidays Act, Annual Leave is required to be paid as at the end of the pay period before the employee starts their holiday. Therefore the rate you see is what the employee will be paid in their next pay - if leave was taken.

Defaults
Rate:

The rate code entered here is used as the default if no other rate is entered against a transaction.

This rate must be one of the rate overrides specified in the Rate Overrides Grid, or a rate listed in the employee's default Award Rates or contract rates.

If you change an employee's rate values, you must use the Recalculate Employee Packages run command to update the details in the Details (ii) tab page of the employee package.

Annualised salary:

The annualised salary field is used mainly for reporting purposes. You can enter a value manually or have it calculated automatically based on the default rate.

Calculate Salary:

To recalculate the Annualised salary, delete the current value and click Calculate Salary. PayGlobal recalculates the employee's annualised salary based on their current Rate Amount, and an audit log Confirm message appears.

Effective rate proportion type:

This field is only displayed when Company Settings | General | Settings | Regional tab | Use effective rates = "Yes".

This field defines how PayGlobal proportions the Quantity value of an allowance transaction during pay processing if a rate change in the pay period for the employee is found.

For example, when an Award Allowance record has Effective start date = 01/04/2010, and the weekly pay period has Start date = 29/03/2010. PayGlobal may split the transaction into two and proportion the quantity according to the Effective rate proportion type. The transaction rate amounts and transaction start/end dates will reflect the effective rate for the date range.

The Effective rate proportion type field has the following options:

  • <blank>

    Use the Effective rate proportion type value in Company Settings

  • Profiled hours

    Hours in the period, based on the employee’s payroll profile.

  • Calendar

    Days in the calendar period.

  • Weekdays

    Weekdays (Monday to Friday) in the period.

PayGlobal will use the Effective rate proportion type value in Company Settings if you do leave this blank. However, if you require the employee to have their transactions proportioned differently to the company's default value then select a value.

 

Rate Override Grid

A rate override is used when an employee does not have a contract or an award attached.

If you do not have award rates associated with the employee, you will need to attach as many rate codes as are necessary in this Grid. See Employee Rates - Details for more information.

Summarising all rate overrides

For a summary of all rate overrides paid to employees, use the Employee Rates makeup table.

Recalculate Annualised salary

You can recalculate the Annualised salary value from other areas in PayGlobal. The following message appears whenever the Calculate Salary process is triggered:

"Do you wish to recalculate annual salary?"

This message appears when you:

  • Change any Employee Rates information.
  • Change award details for the employee.
  • Change the employee's profiled hours and then save their record.

If the Annualised salary value was entered manually, then it should not be recalculated.
