Integrating Courses with Rostering

Summary

When you add an attendee to a course, PayGlobal can automatically update the employee's roster with the course dates, reason, and times.

If the Roster or Actuals periods are already open (or closed), then any course dates in the open period are not updated in the employee's roster. An audit log shows the changes that will be made.

Integration

Integrating courses with rostering involves two areas of PayGlobal that are usually operated by separate departments - Rostering and Human Resources. Integration should be considered from the Roster management view, not HR management.

  • HR should consider the impact of the roster when they specify the Start time and End time for each course day. These times do not need to be the actual start and end time of the course day. For example, if the course ends at 16.00, but takes up the entire working day (for the purpose of the roster), then the course Start time and End time should reflect the entire working day.
  • PayGlobal applies the same course day template to all attendee's rosters. As a result, attendee's are scheduled to attend the course using the course day Start time and End time, irrespective of the attendee's current roster. The course template will append to the employee's roster (not overwrite it), so employees may end up with a roster that is longer than it should be for the day.
    For example, if an employee normally works 07:00 – 15:00, but the course is planned for 09:00 – 17:00, then the employee will end up with a 10-hour day (07:00 – 17:00). Roster users must consider this limitation, which may require additional award rules or changes to existing award rules.
  • A specific reason code should be used for all course days to distinguish course timebands from other timebands. Roster users can also write award rules using this reason code.
