Leave Request Settings - Details

Summary

This tab is used with Self-Service and is visible when:

  • Self-Service is installed (any version)
  • You are licensed for Self-Service and the Self-Service module is enabled.

Leave Request Settings records control:

  • how Self-Service sources employee leave units
  • whether employees can apply for leave on public holidays
  • whether employees can apply for leave on days that they are not expected to work.

Fields
Display schedule source:

(Field is Leave unit source in earlier versions of PayGlobal).

The method that Self-Service will use to display leave units for employees.

The options are:

  • Profiled
    Self-Service will use the profiled hours that are set up for the employee in PayGlobal.
  • Rostered

    Self-Service will use the roster that has been set up for the employee in PayGlobal.

    To use LOP you must use this option.

  • Keyed

    The employee must manually enter the hours in Self-Service that they would have worked.

  • None

    The employee cannot use Self-Service to submit leave requests. The following message appears when they click the New Leave Request tab in Self-Service: "You cannot use self service to apply for leave".

Leave units required source:

Self-Service 3.5 and later functionality. The method that Self-Service will use to allocate the employee's leave units to a leave request.

The options are:

  • Profiled
  • Avg Profiled Hrs - To use LOP you must use this option or Rostered
  • Rostered - To use LOP you must use this option or Avg Profiled Hrs
  • Keyed.
Works public holidays if scheduled:

This Yes/No field controls what happens when you apply for leave on a Public Holiday (PH) in ESS and what happens if you use LOP.

Using ESS

Single/partial day leave

  • Yes - You can apply for leave as a single/partial day on a Public Holiday (PH), for example an employee was scheduled to work on ANZAC day but they called in sick.
  • No - ESS will prevent you from selecting the PH date for leave in the calendar.

Multiple days of leave

Whether you can apply for leave is dependant on the combination of the settings on this field and the Start or end leave on a non-working day and where the PH falls within the date range

If Leave unit source = "None", then this field is disabled.

Using LOP

When an employee applies for leave on/spanning a public holiday and they have LOP enabled, the impact this has employee's leave balance and the related timebands is dependant on the setting applied to the Works public holidays if scheduled field and whether or not the public holiday has an associated Reason code (see Holiday Groups)

Where Works public holidays if scheduled is set to Yes, regardless of there being a reason code for the public holiday, the employee's leave balance will be reduced by the hours there were rostered to work on the public holiday and the associated timeband will display the leave request reason.

Where Works public holidays if scheduled is set to No, and there is no reason code for the public holiday, the employee's leave balance will not be reduced by the hours there were rostered to work on the public holiday and the associated timeband's reason will also not change. However, if the timeband for the day is a 'one-off' and the reason code doesn't match what would have otherwise been applied by the employee's Holiday group record, then the reason code on the timeband is replaced by the reason code from the employee's Holiday group record. For example: If the reason code on the existing timeband was "PH Worked", but the reason code on the Public Holiday was "ANZAC day", then "ANZAC day" replaces "PH Worked"

 

Where Works public holidays if scheduled is set to No, and there is a reason code for the public holiday, the employee's leave balance will not be reduced by the hours there were rostered to work on the public holiday but the associated timeband will display the leave request reason.

Start or end leave on non working day:

This Yes/No field controls whether or not employees can apply for leave on days that they are not expected to work.

Employees can use this functionality to show days that they are still on leave and do not want to be called in to work. When they click the View roster link in Self-Service, the days they selected that they were not expected to work are displayed with no hours against them.

If Leave unit source = "None", then this field is disabled

Pay non rostered days:

Self-Service 3.5 and later functionality. Yes/No field that controls whether units are applied to days that the employee is not rostered.

Note: You cannot model these fields because modelling could potentially update a disabled record that is attached to an employee.
