Use this entity to record common reasons for absence from work.

For example:

  • ACC - paid or unpaid
  • Parental leave
  • Sick leave

Using Reasons

Reasons are used primarily for:

  • Leave transactions in PayGlobal and SELF-SERVICE
  • Reporting
  • Break reason code in Company Settings

Reasons are used in Daily View to indicate Timebands that are exceptions.

Break Reason

A System Break Reason code must be created if you are using PayGlobal Time and Attendance. This code is entered in Company Settings.

Tracking absenteeism

Each reason code can have a limit set to it. This limits the number of absences due to a reason within any one sick leave anniversary year.

For example, you can limit sick leave paid without a medical certificate to four occurrences during a year.

Leave Requests and Self-Service

When completing a leave request form from the Self-Service web site, an employee selects the reason why they require the leave from a drop-down box. For example, they may choose annual leave, or perhaps sick leave. For a leave reason to be displayed on the Self-Service web site, it must contain an association to a payroll allowance in the Details (i) tab page of the reason.

After a leave request has been approved by a manager, it is displayed in the Leave Request View section of Transaction View. The payroll operator must tag and process the leave request before it becomes a leave transaction. The resulting transaction uses the payroll allowance code set in the reason.
