SpreadSheets

Summary

SpreadSheets is no longer supported.

However, the existing Spreadsheet feature still allows you to do the following:

  • Load data from a PayGlobal database.
  • Edit and process data in the SpreadSheet.
  • Return the revised data to the PayGlobal database.

The easiest way to understand the concept of PayGlobal SpreadSheets is to recognise their similarity to PayGlobal Reports. The major difference between SpreadSheets and Reports is that SpreadSheets can write back to the database.

Functionality

PayGlobal SpreadSheets look similar to Microsoft Excel spreadsheets and they have some Excel functionality.

However, functions like VLOOKUP and Freeze Frames are not available.

There is also no generic validation of editable fields, such as date values in date cells.

Advantages
  • SpreadSheets streamline processes such as mass data entry or updates, by reducing the time and effort required.
  • You can create alternative representations of the data, such as Gantt charts, or change the layout for reporting purposes (not covered in this Help file).
  • In some cases SpreadSheets can provide an alternative to the standard method of data processing provided by PayGlobal. For example, you could use SpreadSheets to validate remuneration packages because you cannot apply PayGlobal generic rules to every organisation and the SpreadSheet could cater for any client-specific rules (not covered in this Help file).

Types

Generic SpreadSheets

The following SpreadSheets are available only to PayGlobal clients who are licensed to use them.

  • Employee Rate – Update single or multiple records, hard-coded.
  • HR Remuneration – Update single or multiple records, hard- coded.

Client-specific SpreadSheets

SpreadSheet Process

Before you can use the Rate and Remuneration SpreadSheets, you need to:

  1. Obtain a registration code from PayGlobal support.
  2. Import the registration code.
  3. Import SpreadSheets into PayGlobal.
  4. Execute a SpreadSheet.
  5. Complete the data load form. PayGlobal uses hard-coded links to load data from database table fields into SpreadSheet cells.
  6. Do any of the following in the SpreadSheet:
    • Manipulate data (limited).
    • Process data (main tool).
    • Use the SpreadSheet as an analysis tool to create graphs (hard-coded, but you can adjust parameters).
  7. Check the values in the SpreadSheet.
  8. Use either the Save or Update commands to load the data back into the database table fields.
  9. Check the updated values in PayGlobal.

    Important: Data in the SpreadSheet is a ‘snapshot’. If you are working on a SpreadSheet in a multi-user environment and another user changes values in the database, then these changes are not reflected in your open SpreadSheet. However, when you save the SpreadSheet values back to the database, they will overwrite changes made by the other user.

Data Loading

The data loading process is hard-coded. SpreadSheet data is loaded in the same way as any other PayGlobal form, but it is slightly modified for display in the SpreadSheet. If you change data in the SpreadSheet and click Save or Update, then the PayGlobal data is updated using hard-coded links. Some SpreadSheets allow minor customisation of these links, but most are not editable.
