Standard Pays in Transaction View

Summary

You will use standard pays for the majority of your payroll. After you open the pay, you can enter employee transactions. Transactions consist of allowances or deductions and they can be either paying or non-paying.

Standard Pays

When you open a standard pay, the following transactions may be automatically generated:

  • If an employee has Payroll | Payments tab | Auto-pay = "Yes", then permanent transactions are copied into the standard pay and other transactions can be created for salaried employees, casual employee leave allowances and loan transactions.
  • If the database contains Allowance Type R. Salary allowances, then salary transactions will be generated for employees with Payroll | Payments tab | Payment type = "Salaried" and Auto-pay = "Yes". However, R-type salary allowances do not automatically reduce payments when the pay contains leave transactions so salary payments are usually created using payroll rules and Allowance Type - H. Hourly allowances.
  • If any employees are attached to an annual leave table with Setup tab | Annual leave pay employee type = "Casual", then annual leave transactions are generated for these employees. As a result, casual employees have no annual leave liability.

Standard Pay accumulators

Accumulators are pre-determined date ranges that sort funds into common groups. These groups are then used for reporting and costing purposes.

When you open a Standard pay, you select a period in the Period Calendar and you force PayGlobal to set the accumulator values for that pay.

To check the period accumulator settings, in the main menu click Insert | Sequence Header, or press Ctrl+A.

You should not need to change the accumulators for a Standard pay. If an accumulator appears to be incorrect, then check it against the other periods on the Period Calendar. Navigate to the Period Calendar - Details tab.

Processing a Standard Pay

When you use the Process Pay command from the PayGlobal tree, the Process Pay form appears. The Type field enables you to select the pay type to process: Standard, Manual or Both. Ensure that you select either 'Standard' or 'Both', or the Standard pay will be excluded from the list of pay sequences to process.

Open a Standard pay in Transaction View
  1. Open a Standard Pay.
  2. Open Transaction View.

    The Pay Sequences window appears, which lists current pay sequences and closed pays.

  3. Click the checkbox for the pay sequence that you want to open.

    Check the following:

    Description: Whether the pay is Standard or Manual. Manual pays are ticked by default in the Manual Pay column.

    Pay Period Code:  If you have multiple pay periods, then ensure that you select the pay for the required period code.

    Closed: The checkbox is ticked if the pay period was successfully closed.

  4. Click OK.

    If you want to change pay sequences, then press Ctrl+B to open the Pay Sequences window again.
