Employees - Long Service (NZ)

Summary

The Long Service tab page maintains:

  • Long Service Leave accruals
  • Long Service Leave entitlements

Fields
Average hours per week:

Enabled if the employee's Long Service Leave Tables - Setup tab has Calculate average hours per week = "Yes".

Pay processing and closing

When you process a pay, Exolvo calculates the employee's average hours per week using information from the previous 12 months, including the pay being processed. However, the field is not updated with this value until you close the pay.

Recalculation

To recalculate the Average hours per week value:

  1. Clear the existing value.
  2. Tab to the next field or save the record.

    The Average Hours Per Week form appears. The default date value is the end date of the most recent processed pay.

  3. Click OK to calculate the employee's average hours per week using information from the previous 12 months.
Years to next allocation:

View-only. Displays the number displays the number of whole years remaining on the current Long Service Leave table as at now.

The 'now' date is the date used by the workstation/server running the PayGlobal application.

Weeks due at:

The figure entered in the Weeks due at next allocation field in the Long Service Leave Table - Values tab page will carry over to this field.

Units accrued per period:

Displays the number of units that will be accrued each pay period. This is a view-only field and can only be altered by editing the Long Service Leave table parameters.

See Long Service Leave Tables - Values for more information on accrual methods. For proportional accrual, the value will be 0.0000, as this is dependent on the transactions for each pay period and may vary.

Total accrued:

This is the total Long Service Leave units that have accrued, effective from the time that the Long Service Leave table is attached in an employee's Leave tab page.

Total accrued reversed:

Only relevant if the Units before adjustment and Length before adjustment fields are enabled on the Long Service Leave tables - Values tab page. If the employee has taken unpaid leave, such as maternity leave, this field displays the units of Long Service Leave that have been reversed when the Long Service Leave end date is extended.

When the Long Service leave table is rolled, the value in the Total accrued reversed is reduced from Outstanding and the Total accrued is reset to 0.

Last eligible pay:

System generated end date of the last pay period that had transactions with allowances that are in the Long Service Leave allowance group. This field is used in conjunction with the Units field in the Long Service Leave Tables - Values tab page.

 

 

 

 

 

 

Unit Balances
Outstanding:

Displays the balance of Long Service Leave units that have been accrued in previous Long Service Leave periods.

When the employee's Long Service End date falls within the next Period to be closed, the balance of the Total accrued field is carried over into Outstanding (including that period's accrual). The Total accrued field is then reset to zero.

Total accrued taken:

This field is automatically updated with the number of Long Service Leave units that have been used by the employee in their current Long Service Leave period.

LS units available:

Displays the total number of units that an employee is currently entitled to. The units are either weeks, days or hours, depending on the Type of unit in the employee's Long Service Leave Table. The total is calculated as:

Outstanding - Total accrued taken

Previous Eligible Service:

If an employees LSL entitlement is to be carried over from a previous company that they have worked for, enter their LSL entitlement into the Years and Months fields.

Hours per week:

Enter the value from the Average hours per week field to be carried over from the previous company.

Month to Date units:

The Month to date fields will be displayed and editable only if the Long Service Leave table attached to the employee has Accrual Method = Proportional and the Minimum Quantity is set.

Accrued units:

Displays units accrued for the current month-to-date.

Qualifying hours:

This field maintains the number of 'H' Type Allowances, which have been paid in any one-Month i.e. MTD table. If, at the end of the Accumulator month, the value here is less than Monthly qualifying hours, the Pro-rata accrued so far will be zeroed.

This function generally applies to clients who need to maintain a calculation of Long Service for casual employees, but only apply the liability if it falls within a threshold of hours in a month

Month ends:

This field will be the first monthly period end date. The system will then maintain this date from that point forward, always using the new months period end date.

 

 

 

 

 

 

 

Liability
Nett outstanding ($):

This field displays the value owed to the employee for previous Long Service Leave periods. The calculation uses the unit balance of outstanding, multiplied by the rate or rule specified in the attached Long Service Leave - Setup tab:

Outstanding * Outstanding unit payout rate/rule value

Nett accrued ($):

This field displays the value owed to the employee for the current Long Service Leave period. The calculation method is:

( Total accrued - Total accrued taken ) * Accrued unit payout rate/rule value

Total ($):

This is the total net liability in dollars that the company is required to pay out. The calculation method is:

Nett outstanding ($) + Nett accrued ($)
