Courses - Attendees

Summary

The Attendees tab contains Course Attendees makeup records. After you create a Courses record, you can add an employee to that course from any of the following sources:

  • Induction (through a Nomination)
  • Performance Plan (through a Training Plan | Nomination)
  • Training Plan (through a Nomination)
  • Manually.

Add Attendee by Nomination

To add an employee to a course from a Nominations record:

  1. Navigate to Human Resources | Learning & Development | Course Details | Nominations.
  2. Double-click the required Nominations record to open it.
  3. On the Nominations form, click Edit.
  4. In the Details tab | Course field, use the pick list to select the Courses record that you require.

    Important: The Details tab | Course Type value determines the records displayed in the Courses pick list; you can see only Courses for that type of course.

  5. Click the Transfer button.

    A series of messages appear (see Nominations - Transfer Employee to Course).

  6. Copy across default Learning Outcomes and Course Feedback records.
  7. Check the audit log.

On the Nominations | Details tab, the Status field is now "Transferred".

The nominated employee is listed on the Attendees tab of the Courses record that you selected.

Add Attendee Manually

To manually add an employee to a course:

  1. On the Courses | Attendees tab, click Edit.
  2. Press Insert.
  3. Complete the fields on the Add Course Attendees form (See Course Attendees - Details).

Roster integration

When you add an attendee to a course, PayGlobal can automatically update the employee's roster with the course dates, reason, and times (see Integrating Courses with Rostering).

  • If you change the Employee value in a Course Attendees record, then the rosters are deleted for the original employee and created for the new employee.
  • If you model the Status field to other attendees, then all relevant rosters are updated.
  • If you 'Pass All Attendees', then all attendees' rosters are updated.
  • If you change and attendee's Status to "Declined", then the attendee's roster timebands are deleted. The audit log shows the changes that were made.

Deleting Course Attendees Records

PayGlobal will not allow you to delete records that have dependencies. Before you can delete a Course Attendees record, you must delete all Course Attendee Course Feedbacks and Course Attendee Learning Outcomes records in that record.
