Daily View - Process Clock Data - Clock Flags

Daily View

Summary

After you run Import Clock Data or Reset Clock Data you need to Process Clock Data to apply (or reapply) the rules that you set up in the employees' Anchor Groups.

When you Process Clock Data, PayGlobal processes the raw clock data to determine employees' start, end and break times. It uses anchoring rules to:

  • Anchor employee clock times to their roster.
  • Round employee clock times.
  • Insert breaks.

After you Process Clock Data, PayGlobal displays clock flags in the Drill Down area to show the type of anchoring rules that it applied to the employee's clock swipes.

In/Out Flags

I In

Represents clocking in.

O Out

Represents clocking out.

D Detail

This is only used if you are using clock keys to supply additional data e.g. department when your employee swipes their clock card.

In the above example where the clock key shows the employee's department, 'D' represents a transfer from one department to the next.

Clock Flags

* Amended time

If you edit a timeband, then the Drill Down area displays an asterisk (*) in the Flg column.

AngleBracketRight Anchored forward

PayGlobal used the employee's anchoring rules to anchor forward their raw clock time to their roster time.

For example, an employee who is rostered to start work at 08:00 has an anchoring rule with Start before = 00:30. The employee clocks in at 07:40 (20 minutes early) so PayGlobal anchors forward their start time to 08:00. The Drill Down area displays the employee's start time as 08:00 with a greater than sign (AngleBracketRight ) in the Flg column.

AngleBracketLeft Anchored back

PayGlobal used the employee's anchoring rules to anchor back their raw clock time to their roster time.

For example, an employee who is rostered to start work at 08:00 has an anchoring rule with Start after = 00:15. The employee clocks in at 08:10 (10 minutes late) so PayGlobal anchors back their start time to 08:00. The Drill Down area displays the employee's start time as 08:00 with a less than sign (AngleBracketLeft ) in the Flg column.

G Auto-generated

PayGlobal generated the employee's clock times from their roster because that roster timeband contained a Reason value.

For example, an employee's roster timeband for Monday has Reason = 'Annual Leave' because they are away on annual leave. PayGlobal generates the employee's clock times from their roster, and displays the annual leave Reason code in Employee View and Drill Down. The Drill Down area displays the employee's clock times with a decimal point (G) in the Flg column.

.  Rounded time

PayGlobal used the employee's rounding rules to round their raw clock time.

For example, an employee who is rostered to start work at 08:00 has an anchoring rule with Start after = 00:15 and a rounding rule with Start = 'To the nearest 00:15'. The employee clocks in at 08:20 (20 minutes late) so PayGlobal does not anchor their start time because it is outside the anchoring range. Instead, PayGlobal rounds 08:20 to 08:15. The Drill Down area displays the employee's start time as 08:15 with a decimal point (.) in the Flg column.

M Missing clock swipe

If a clock time is missing from the employee's timeband, then the Drill Down area displays a capital M in the Flg column.

F First swipe used

First swipe used where duplicate swipes occurred.

L Last swipe used

Last swipe used where duplicate swipes occurred.

Example

This example shows common clock flags.

The employee did the following:

  • Clocked in at 13:58 so PayGlobal anchored forward their start time to 14:00.
  • Clocked out for their break at 16:29 so PayGlobal rounded their break start time to 16:30.
  • Clocked in after their break at 17:02 so PayGlobal rounded their break end time to 17:00.
  • Clocked out at 22:05 so PayGlobal anchored back their end time to 22:00.
