Clock Keys

Time & Attendance | Clock Keys

Summary

Clock Keys are codes that employees can enter at the Clock when they swipe in or out. Entering a clock key provides additional information about the swipe event, such as department or location. Clock Keys override any default settings in an employee file.

For example, a supermarket usually has several areas that an employee can work in, for example - Butchery, Grocery, Checkouts. Each area will have a separate Key Code. Therefore:

Butchery - 150
Grocery - 151
Checkouts - 152

An employee may start a shift in the Grocery department, keying in '151' on the clock. During the shift, they are assigned to Checkouts to cover a busy period. The employee would then key '152' into the clock when changing over.

Note: If an employee uses a clock key transfer, then they can have an uneven number of clock swipes, and PayGlobal would not apply the 'OM' flag to the timeband when you run Clock Result Data.

Why use Clock Keys?

Clock Keys provide additional information about an employee. For example, the location or position of the employee. An employee's wage rate may alter according to the key that is entered.

In the example above, PayGlobal uses the settings on the Details (ii) tab page to associate the corresponding information with the employee's changeover.

These details are sent through with the clock import. This information overrides details in the employee record or roster for that period.
