Clock Result Data

Time & Attendance | Clock Result Data command

Summary

Use the Clock Result Data run command to process clock results. Clock results are flags that appear in Daily View and they identify timebands that needs to be checked in more detail. You then need to edit the timebands in Daily View to rectify any problems. Use the fields on the Details tab to set up this command.

As part of the Clock Result Data process, PayGlobal uses anchoring and rounding rules which check the in and out clock swipes. This process can also be set up to create timebands for situations such as an employee with a clock swipe time that is inconsistent with his or her roster. PayGlobal flags these extra timebands and any other clock swipe errors. Use Daily View to confirm acceptance of the results from these flags.

When the Time tolerance field = 'Yes', PayGlobal creates clock result flags and extra timebands. For example, an employee rostered to work until 17:00 clocks out at 16:00. When you process this data, PayGlobal creates an extra timeband for 16:00 to 17:00 and flags it as EF (Early Finish). You can then check this timeband in Daily View and edit it if necessary.

Your PayGlobal Consultant will set up Daily View to meet the specific requirements of your company.

Effects of running this command

Running this command will carry out the following tasks, depending on your settings:

  • Check for clocking omissions - (OM Result) - the employee has missed a clock swipe on the current day.

    Note: An employee can have an uneven number of clock swipes if they use a clock key transfer, and in this instance PayGlobal would not flag the timeband. See Clock Keys.

  • Check for absent employees - (AB Result) - the employee is rostered to work, but has no clock swipes on the current day.
  • Check for non-rostered employees - (NR Result) - the employee is not rostered to work, but has clock swipes on the current day.
  • Check for time tolerance exceptions:
    • ES Result - the employee starts before their rostered start time.
    • LS Result - the employee starts after their rostered start time.
    • EF Result - the employee finishes before their rostered finish time.
    • LF Result - the employee finishes after their rostered finish time.

    PayGlobal creates extra timebands for those employees with clock times outside their rostered timebands. For example, an employee rostered to work until 17:00 clocks out at 16:00. When you process this data, PayGlobal creates an extra timeband for 16:00 to 17:00 and flags an EF Result (Early Finish). You can then check this timeband in Daily View and edit it if necessary.

    Note: If an employee has multiple shifts in one day, PayGlobal applies the time tolerance flag to the whole day; not to individual shifts.

  • Check for unbroken timeband shift lengths - (UT Result) - you can specify a maximum unbroken shift length when running this process. Any shifts greater than the number of hours specified will be deemed an exception.

After processing, Daily View displays:

  • Clock in times.
  • Clock out times.
  • If an employee has clocked in on a non- rostered day.
  • If an employee has clocked in outside their rostered times.
  • If an employee has not clocked in on a rostered day.
  • Exceptions.

Using clock result data

Clock results clearly indicate that there is a problem with an employee's timeband. You must then edit the employee's timeband in Daily View to rectify the problem. You can do this by editing the times or inserting a reason code on the timeband. For example, for an AB (Absent) clock result, you may wish to add a leave reason code. This will remove the clock result flag from the employee's timeband.

Clock results and award rules

If you are using clock results, it is a good idea to exclude certain flags from award rules so you do not accidentally calculate a payment for an employee that they are not entitled to. Remember that these flagged times are generated by PayGlobal from the employee's roster and they do not reflect the actual clocking for the employee.
