Generate Non-Clocked Data

Summary

Your company may have some employees who do not use time clocks to track their hours. These employees generally work the same hours each day, or are salaried workers. PayGlobal can generate non-clocked data from employee rosters for employees that do not use clocks.

The Generate Non-Clocked Data command generates Actuals for non-clocked employees. Non-clocked employees are those employees who have the Use Clocks field in their employee record set to 'No'. The Actuals timebands will be based on the employee's roster for the day.

Advantages

If used correctly, this command will minimise the amount of editing you will need to complete in Daily View. It does this by generating the Actuals for any employees who have not clocked. For example, you could use this process to generate the timebands for salaried employees who do not use clocks by updating the information directly from their profile. It can also generate the Actuals for those employees with rostered items containing reason codes. These reason codes must have the Generate Actuals field set to 'Yes".

How does PayGlobal know which employees to generate non- clocked data for?

For salaried employees, set the Uses Clocks field to 'No' in their employee records. The employee's Tours, Shift Overrides or Timeband Overrides need to be completed for the Generate Non-Clocked Data procedure to insert the Actuals times.

The non-clocked data can also come from the employee's roster if they have a reason code with the Generate Actuals field set to 'Yes'.

Setting PayGlobal to generate non- clocked data

The Generate Non-Clocked Data command only needs to be used when the Periods | Details | Actuals field = 'Manual'.

When this field = 'Auto', the non-clocked data is automatically generated at the time of opening the Actuals period.

What about tracking employees via their roster?

Roster data can generate clock data for employees that do not use clocks. For example, salaried employees are usually on a set Tour. Their clock data is generated from the time parameters of those tour shifts.

  2. Process Clock Data.
  3. Generate Non-Clocked Data.
