Annual Leave Payouts in Standard Reports (NZ)

Summary

Standard reports do not show annual leave payout units separately, they are included in existing report amounts. For example, in PGPRLEAV001 - Annual Leave Accrued Units, Outstanding shows the total leave remaining after annual leave was taken or paid out.

This topic explains how to set up a standard report to track annual leave payouts, and how annual leave payouts affect standard reports.

Set up Standard Report for Annual Leave Payouts

You can track annual leave payouts using a standard report that has an Allowances tab, such as the PGPRHIST003 - File Analysis Report. However, the report must show the annual leave entitlement year the payout was made in so you need to sort it correctly.

  1. On the report setup Allowances tab, select the annual leave payout allowance. See Annual Leave Payouts (NZ).
  2. Sort the report by Employee.Lastname and Transperpaysequence.Periodend with Totals selected.

Leave reports

PGPRLEAV001 - Annual Leave Accrued Units

Outstanding shows the total leave remaining after annual leave was taken or paid out.

PGPRLEAV003 - Combined Leave Style Two

Outstanding shows the total leave remaining after annual leave was taken or paid out.

PGPRLEAV004 - Combined Leave Style One

Annual Leave shows the total leave remaining after annual leave was taken or paid out.

PGPRLEAV016 - Annual Leave History

In the Period Leave Date Type column:

  • Payout displays as type "R.Arrears"
  • Outstanding/taken displays as type "R.Arrears"
  • Accrued/taken displays as type "V.Advance".

PGPRLEAV018 - Annual Leave History (Units)

In the Period Leave Date Type column:

  • Payout displays as type "R.Arrears"
  • Outstanding/taken displays as type "R.Arrears"
  • Accrued/taken displays as type "V.Advance".

    Note: When you add an annual leave payout transaction, the Holiday start date and Holiday end date values default to the pay sequence start date. However, the Leave Taken value in the PGPRLEAV018 report is derived from the transaction start and end dates so it may not reflect the units paid out. For example, if you add a payout transaction for 5 days, but the start and end dates are the same, then PGPRLEAV018 will display a Leave Taken value of 1 for that transaction. If you want PGPRLEAV018 to display a Leave Taken value that reflects the days paid out, then enter Holiday start date and Holiday end date values that correspond to the units being paid out. For example, if you add a payout transaction for 5 days and enter start and end dates that span 5 days, then PGPRLEAV018 will display a Leave Taken value of 5 for that transaction.

PGPRLEAV020 - Departmental Leave Analysis

Leave Taken includes annual leave taken and annual leave paid out.

PGPRLEAV035 - Liability for Annual Leave

Outstanding shows the total leave remaining after annual leave was taken or paid out.

Miscellaneous Reports

PGPRMISC004 - Statistics Report

You should include annual leave payouts on the Statistics Report. When you create annual leave payout allowances, on the Details (iii) tab, select Include in statistics report = "Yes". See Annual Leave Payouts (NZ).

The Ordinary setting on the Details (ii) tab of annual leave payout allowance records controls where values are displayed on the Statistics Report.

  • Ordinary = Yes. Paid out leave is displayed in the Ordinary time payout and Ordinary time hours fields in the Grand Totals section.
  • Ordinary = No. Paid out leave is displayed in the Overtime payout and Overtime hours fields in the Grand Totals section.

PGPRMISC061 - Pay Period Audit Report

Units Taken = Paid units including:

  • Outstanding (Entitled)
  • Advanced (Accrued)
  • Paid out leave.

Primary Reports

Edit setting for the following reports so you can see the annual leave entitlement year that the payout was made in, which was written to the transaction Text tab when you closed the pay. See Annual Leave Payout Transactions (NZ).

PGPRPRIM001 - Pay Period Calculation Listing

In report settings, on the Details tab, select Show transaction text.

Annual Leave - Outstanding (in the OrdHrs OtHrs column) shows annual leave that was taken or paid out.

PGPRPRIM003 - Employee Pay Slip Report

In report settings, on the Details (ii) tab, select Transaction text.

Annual Leave - Outstanding (or equivalent allowance description) shows annual leave that was taken or paid out.

Edit your report definitions to ensure that the VirtualPayslip fields TaxableTrText1 to TaxableTrText10 are included in your payslip template.

Note: The Outstanding label indicates that the annual leave was taken or paid out from the employee's outstanding annual leave.
